Job DescriptionPosition: Front Office Coordinator / Patient Services Representative
Overview:
The Front Office Coordinator serves as the first point of contact for patients and visitors, ensuring a professional, welcoming, and efficient experience. This role supports patient access, registration, scheduling, and financial processes while maintaining accuracy in all electronic medical records (EMR) systems.
Key Responsibilities
Patient Experience & Front Desk Operations
- Serve as the primary point of contact, greeting and welcoming patients and visitors in a professional and courteous manner
- Guide patients through the check-in and check-out process, ensuring a seamless and positive experience
- Respond promptly to patient inquiries, concerns, and service needs
- Promote and support patient satisfaction initiatives, including patient feedback and survey participation
Patient Registration & Insurance Verification
- Complete patient registration, including demographic updates, consent forms, HIPAA documentation, and insurance information
- Verify insurance eligibility at each patient encounter for federal, state, and commercial plans
- Confirm primary and secondary coverage and maintain accurate payer sequencing
- Validate insurance cards and photo identification to ensure accurate coverage and patient identification
Financial & Administrative Duties
- Collect and process co-payments, co-insurance, self-pay balances, and share-of-cost payments in accordance with policy
- Maintain accurate and up-to-date appointment schedules for physicians, advanced practice providers, and ancillary services (e.g., lab, nursing visits)
- Perform outreach to reschedule missed appointments and coordinate follow-up care
Communication & Records Management
- Answer incoming phone calls in a timely and professional manner; route calls to appropriate departments as needed
- Ensure accuracy and completeness of electronic medical records by filing, retrieving, and forwarding documentation
Required Qualifications
- Minimum of 1 year of experience in a medical front office or patient-facing healthcare setting
- Minimum of 1 year of experience handling insurance verification and eligibility processes
- Minimum of 1 year of experience utilizing electronic medical records (EMR), patient registration systems, and scheduling platforms
- Strong patient service and customer service skills

Pay and Benefits
The pay range for this position is $23.00 - $24.00/hr.
