Job Summary
We are seeking a Scheduler Coordinator to provide centralized oversight and coordination of communication and logistics between field service engineers and internal teams. This role requires meticulous attention to detail and fluency in managing diverse digital channels (e.g., WhatsApp, text, email) to ensure timely and accurate scheduling, reporting, and documentation of service activities. The ideal candidate will serve as a pivotal link in maintaining operational flow and field readiness, balancing urgency with accuracy in a dynamic, technical service environment.
Key Responsibilities
Communication & Coordination
- Monitor incoming communications across WhatsApp, text, email, and other platforms to ensure follow-through and alignment on job activities.
- On a daily/hourly basis, proactively reach out to external customers to confirm incoming and outgoing ship schedules are current.
- Act as liaison between field service engineers and internal stakeholders to confirm schedules, berth assignments, and port logistics.
- Document and escalate operational discrepancies such as date mismatches, duplicate reports, and missing documentation.
- Follow up on unresolved or canceled jobs to facilitate rescheduling and closure.
Scheduling & Field Support
- Manage and monitor daily/hourly scheduling of ship schedules utilizing the Pilot List, LDpa Portal (Open Jobs), Marine Traffic app, chat groups, emails, vessel tracking websites, and various other communication/reporting channels.
- Communicate and coordinate scheduling updates real-time with Field Service Engineers during shift.
- Maintain real-time visibility on field service engineer assignments and travel logistics.
Operational Administration
- Partner with the Business Operations Coordinator to ensure timely, accurate reporting and jobs completed successfully or coordinating a follow up work order if necessary.
- Assist engineers by organizing incoming service data (Tsheets and reports) as needed.
Qualifications
- High School Diploma or GED required; Associate or Bachelor's degree preferred.
- 2+ years experience in operations coordination, logistics, or support roles within technical or engineering services.
- Strong written and verbal communication skills and interpersonal fluency.
- Proficient in Microsoft Office, Google Workspace, and messaging platforms (e.g., WhatsApp, WeChat).
- Ability to work across departments and support remote field teams in real time.
- Ability to obtain a TWIC card (Transportation Worker Identification Credential).

Working Conditions
- This position requires onsite work, with responsibilities carried out at our designated facility or job location.
- Flexibility is essential, as the position may demand availability outside standard business hours to align with high-priority deadlines and time-sensitive tasks.
- Must be available to work weekends.
Other
- Must be able to pass a drug screening and background check upon request for customer site access. A clean driving record is required.
