COMMAND is looking for an extraordinarily talented and self-motivated individual with excellent communication, problem-solving, and customer service skills to fill the role of the Office Assistant.

The Office Assistant's duties include providing support to the Office Manager and Director, assisting in daily office needs, and managing our company's general administrative activities. The Office Assistant's responsibilities include assisting in payroll, accounts payable, managing calendars, making meeting arrangements, preparing reports, and assisting in all aspects of our business to ensure the highest efficiency level.

Must be a proactive self-starter, demonstrate considerable tact, diplomacy, and judgment in various situations, be extremely detail-oriented, work in a fast-paced and high volume environment without becoming flustered.

The ideal candidate should have excellent oral and written communication skills and organize their work using MS Excel and office equipment tools. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.

Description:

  • Responsible for the setup, preparation, and processing of payroll, including:
  • Maintains accurate and timely daily payroll system and overtime reporting system for cost control.
  • Review and ensure accuracy of approved time sheets.
  • Maintenance of employee data (including preparation/distribution of detailed reports)
  • Maintain all personnel/benefits files.
  • Handle the administration of the electronic timekeeping system.
  • Establish/maintain employee records; ensure that employee changes are entered correctly and made on a timely basis.
  • Reconcile the accounts payable ledger to ensure that all bills and payments are accounted for and properly posted and paid in a timely manner.
  • Perform diverse and confidential administrative support.
  • Organize and schedule appointments, and manage calendars.
  • Plan meetings and take detailed minutes.
  • Assist in the preparation of regularly scheduled reports.
  • Develop and maintain a filing system.
  • Liaise with all parties to handle requests and queries.
  • Manage office administratively in coordination with the Office Manager.
  • Other miscellaneous duties as assigned

Qualifications:

  • Bilingual English/Spanish with oral and written proficiency.
  • Two plus years performing all payroll & HR functions;
  • Experienced within the ADP platform is a plus!
  • Strong skills using and understanding the flow of transactions in an integrated and automated payroll accounting system
  • Ability to maintain confidentiality and exercise extreme discretion
  • Excellent problem solving/judgment skills, and high level of attention to detail, and accuracy
  • Ability to handle and prioritize multiple tasks and meet all deadlines
  • Professional approach and superior organizational and time management skills, with the ability to complete tasks within a strict timeline
  • Exceptional communication, follow-up skills are essential and being proactive
  • Enthusiastic and self-starting approach
  • Pride and Ownership of Work
  • Proven experience as an administrative assistant or office admin assistant
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail
  • Strong organizational skills with the ability to multi-task
