Job Title: Accounting Specialist
Job Description
The Accounting Specialist will support the finance team by performing day-to-day accounts payable and accounts receivable tasks. This role requires strong attention to detail, organizational skills, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities
- Review and enter vendor invoices for accuracy and proper coding.
- Process weekly payment runs and prepare checks or electronic payments.
- Maintain vendor files and ensure compliance with W-9 and COI requirements.
- Reconcile AP subledger to the general ledger and assist with month-end close.
- Track and audit petty cash and credit card transactions.
- Record customer payments and deposit checks.
- Monitor aging reports and follow up on overdue invoices.
- Communicate with clients regarding payment status and resolve discrepancies.
- Prepare and send monthly billing statements and invoices.
- Assist with collections and maintain accurate AR records.
- Assist with timesheet and expense report reviews.
- Support invoice preparation and contract tracking.
- Perform filing and general administrative tasks.
- Participate in audits and provide documentation as needed.
Essential Skills
- Proficiency in accounting, accounts payable, and accounts receivable.
- Experience in invoicing and reconciliation.
- Attention to detail and coachable.
- Some ERP experience is preferred.
- Strong communication and time management skills.
- Ability to work independently and collaboratively.
Additional Skills & Qualifications
- High school diploma or GED required; associate degree in accounting preferred.
- 1–3 years of experience in AP/AR or general accounting.
- Proficiency in Microsoft Excel and accounting software such as SAP, Epicor, or QuickBooks.
Pay and Benefits
The pay range for this position is $23.00 - $24.00/hr.
