Work Schedule: Twelve hours per week, Monday and Wednesday from 9 am - 3 pm. (Possibly more hours after the training period). Ability to fill in when the Secretary/Treasurer is absent or on vacation.
Duties: General duties to include, but not limited to the following:
• Answer phones.
• Knowledgeable and ability to use Quickbook accounting software.
• Record and deposit fees and receipt payables to the Borough.
• Processing of invoices and check payments.
• Maintains petty cash records and reimburses as required.
• Assistance with Borough Audits.
• Process Parking Fines.
• Prepare “Sales Tax Exemptions” certificates and submit to vendors.
• Handle complaints and requests as they are received by phone or in person and direct to appropriate Council member, mayor or borough manager.
• Prepare reports and setup for Council Meetings.
• Update various Social Media platforms including Website support.
• Provide assistance to the Borough's Zoning office.
• Complete the Insurance Annual Audit Report
Payroll Duties:
• Preparation of Payroll
• Compile and verify payroll timesheets and prepare bi-weekly payroll using Quickbooks.
• Track the employees' vacation, sick, comp time and personal time and report discrepancies to the Borough Manager.
• Keep track and order yearly clothing /shoe allowance for the DPW staff.
• Submit payroll-associated taxes to proper agencies and prepare yearly W2’s.
As time permits, when above mentioned duties are up-to-date, assist with other office projects (i.e. generate and type various miscellaneous correspondence, or other office duties when needed.
