Job DescriptionWe are looking for an experienced Senior Administrative Assistant to join our team in Bloomington, Minnesota. This Contract to permanent position is ideal for someone who is detail-oriented, thrives in a fast-paced environment, and excels at managing administrative tasks with precision and efficiency. As part of the Real Estate & Property industry, you will play a key role in supporting property management operations and ensuring smooth day-to-day activities.
Responsibilities:
• Coordinate and schedule meetings, special events, and other activities as needed to support property management operations.
• Prepare and manage bid proposals, service contracts, invoices, and assist with the bidding process to ensure compliance with company policies.
• Process and code invoices for manager approval, ensuring accuracy and timely submission.
• Oversee office supply inventory and ensure the workspace is stocked with necessary items to maintain productivity.
• Manage contract and insurance certificate information using contract administration software, tracking expirations and maintaining records.
• Monitor and update the property maintenance work order system, preparing monthly status reports for the Property Manager.
• Maintain and organize lease and contract files, purchase orders, and other essential documents in the property management office.
• Foster strong relationships with tenants and clients, addressing service calls and promoting positive interactions.
• Assist in preparing monthly and quarterly management reports, annual budgets, and other financial documentation.
• Process staff hours, tenant bill-back invoices, expense reports, and other accounting tasks for review and approval.• High school diploma or equivalent required; a Bachelor’s degree is preferred.
• Previous experience in customer service or administrative roles is highly desirable.
• Strong proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
• Familiarity with lease administration, tenant leases, and property management systems.
• Excellent communication skills, both written and verbal, with the ability to interact professionally with decision-makers.
• Exceptional organizational skills and the ability to manage multiple tasks simultaneously.
• Initiative and problem-solving skills to effectively handle responsibilities and maintain confidentiality.
• Experience with tools such as Microsoft Dynamics CRM and Skype is a plus.
