Northeast Center for Youth & Families, Inc. (NCYF) is seeking an Administrative Specialist to direct coordination and oversight of the administrative and reception duties within the Agency. The Administrative Specialist is responsible for ensuring and monitoring that initiatives and deadlines are met both internally and externally, and will manage coordination and oversight of projects as assigned.
The Administrative Specialist must be able to use interpersonal skills to enable, empower, and oversee the Administrative Assistants/Receptionists to complete assignments and effectively handle a broad range of sensitive situations and diverse personalities. The Administrative Specialist must also have the ability to establish and promote positive communication and teamwork, use their highest level of judgment and discretion in handling day-to-day activities within the agency, and oversee, supervise, evaluate, and train the Administrative Assistants/Receptionists, as well as provide backup coverage and/or assign coverage when needed to support the team.
Other duties of the Administrative Specialist include assisting Program Directors with the preparation of license renewals, inspections, and state and city reporting as needed, creating and distributing needed reports to members on the leadership team, collaterals, and other agency staff as needed, and other administrative duties such as composing and editing complex documents; filing; copying; data entering; typing letters; and creating forms and tracking systems.
A successful Administrative Specialist candidate will have the ability to work in a very fast-paced environment with numerous interruptions, frequent changes, and handle multiple priorities while managing projects with accountability for results. This candidate must have excellent organizational and time management skills, and maintain the highest level of confidentiality. The Administrative Specialist will also perform other tasks and assume responsibilities assigned by members of the Leadership Team as needed.
Qualifications:
- Must have a minimum of a Bachelors Degree, or 5+ years related experience and/or training; or equivalent combination of education and experience.
- To perform this job successfully, an individual should have knowledge of: Word Processing, Excel Spreadsheets , Databases, Internet Software, and Email; Must be able to read as well as analyze & interpret information, reports, and documents.
- Ability to reason and solve practical problems, deal with variety of concrete variables and interpret instructions
- A successful candidate must have strong organizational skills and be detail-oriented, have the ability to analyze and interpret complex materials, and have excellent communication and time management skills
