We pride ourselves on a strong team dynamic, and we're looking for an enthusiastic and dedicated Veterinary Receptionist to join our growing family.
As a Veterinary Receptionist at Walton Gwinnett Animal Hospital, you will serve as the first point of contact for our clients and their beloved pets. Your role is essential in providing exceptional customer service, managing client communications, and supporting our veterinary team to ensure the smooth daily operations of the hospital. Our Veterinary Receptionist's typically work 4-day work weeks and rotate Saturday's. As receptionists, you will be guaranteed to receive every Sunday off.
Location: 4695 Atlanta Hwy, Loganville, GA 30052
Schedule: Monday – Friday, 7:30 AM – 5:30 PM (Shifts start at 7:15 AM)
Rotating Saturdays: 8:00 AM – 12:00 PM (Must arrive by 7:45 AM)
Pay Range: $13.00 - $17.00 per hour (based on experience)
Key ResponsibilitiesClient Interaction & Communication:
- Greet and check in clients with a warm, friendly demeanor.
- Answer incoming phone calls and respond to inquiries, providing accurate information regarding services, appointments, and procedures.
- Schedule appointments for routine visits, emergencies, and surgeries, ensuring accuracy in client and patient information.
- Communicate effectively with clients regarding hospital policies, procedures, and financial information.
- Educate pet owners on pre-appointment requirements, post-care instructions, and general veterinary health information.
Patient Intake & Record Management:
- Collect detailed patient history and update records in the practice management software.
- Ensure all client and patient information is entered accurately and completely.
- Coordinate with the veterinary team to prepare for appointments, ensuring all necessary documents are prepared ahead of time.
Billing & Payment Processing:
- Process payments for services, ensuring accuracy in billing and providing clients with clear, detailed invoices.
- Handle financial transactions, including insurance claim submissions and follow-ups on outstanding payments.
Hospital Coordination & Team Support:
- Assist with the preparation of patient charts and files, ensuring all relevant information is provided to the veterinary team.
- Maintain smooth communication with veterinary technicians, doctors, and management to ensure all appointments and procedures run on time.
- Assist in maintaining a clean and organized front office area, ensuring that all materials are stocked and available.
Customer Service Excellence:
- Provide outstanding customer service by building positive relationships with clients, resolving issues, and ensuring satisfaction.
- Respond to emergency situations in a calm, professional manner, ensuring that both clients and patients are cared for promptly.
General Office Duties:
- Ensure proper handling of all administrative tasks, including answering phone calls, filing documents, and assisting with office supplies as needed.
- Maintain confidentiality of all client and patient information according to HIPAA regulations.
Skills, Knowledge & Expertise
- Experience:
- Prior experience in a hospital or veterinary setting is required, with veterinary hospital experiencestrongly preferred.
- Experience with veterinary practice management software (e.g., Avimark, eVet, or similar) is a plus.
- Customer Service Skills:
- Strong customer service skills with the ability to communicate clearly and effectively with clients, staff, and vendors.
- Ability to handle difficult situations with empathy and professionalism.
- Organizational & Time Management Skills:
- Exceptional organizational skills and the ability to manage multiple tasks and priorities in a busy environment.
- Attention to detail when managing patient records, scheduling, and billing.
- Availability & Flexibility:
- Must be able to work Monday-Friday, 7:30 AM – 5:30 PM with rotating Saturdays (8:00 AM – 12:00 PM), and arrive by 7:45 AM for Saturday shifts.
- Flexibility to work extended hours or additional shifts when necessary.

- Physical Demands:
