Job DescriptionPosition Summary
To provide support to Membership, YEA and Students members by maximizing the member/customer experience through emails, reports and events.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
- Manage customer service issues related to student members, ASHRAE student branches, and student branch advisors including but not limited to:
- Correcting records within customer relation management database (CRM)
- Setting up new student branches (including paperwork for constitution and bylaws for Members Council)
- Processing Student Branch Advisor memberships
- Monitoring student branch assignments
- Coordinating bulk Student applications entry
- Assist the manager with Student Activities subcommittees including K-12/STEM, Design Competition, Grants, Post-High, and ABET; assist the committee chair in the planning of meetings, development of agendas, take minutes, and in execution of all committee activities.
- Coordinate with Marketing for:
- Development, print, and restocking of the Student Activities brochures
- Development, print, and restocking of the YEA marketing brochures
- Student Activities marketing collateral
- Newsletters and social media posts for Student Activities and YEA
- Keeping the Student Activities and YEA webpages updated
- Co-manage staffing at the Membership Desk during Annual and Winter Meetings with Member Services Coordinator.
- Assist with coordinating and promoting all student activities at ASHRAE's Winter Conference including:
- Virtual Student Orientation.
- Student Welcome
- Awards Ceremony
- Student/YEA Mixer
- Career Panel
- Technical Talks
- Poster Session
- Student travel
- Coordinate and promote virtual sessions for students (round table discussions, DL talks, etc) throughout the year as well as the Student Activities Centralized Training which is held virtually following the Annual Meeting.
- Administer ASHRAE's student programs including:
- Undergraduate Program Equipment Grants
- Travel Grants
- Student Design Competitions
- Student Design Competition
- HVAC Design Calculations
- HVAC System Selection
- Setty Family Foundation Net Zero Energy Design
- Setty Family Foundation Applied Engineering Challenge
- Building EQ Competition
- High School Design Competition
- Student Activities Awards
- Youth Outreach
- Student Activities Achievement Award
- SBA of the Year
- K-12/STEM Chapter Leadership Award
- Assist the YEA Professional Subcommittee with processing applications and organize Leadership U at the Winter and Annual Conferences.
- Monitor inventory of student resources and process requests for promotional material and in collaboration with Manager, Young Professionals & Students.
- Coordinate and process payments and travel reimbursements for Students and YEA
- Coordinate logistics for Centralized Trainings for Student Activities and YEA Leadership Weekends.
- Work with Manager of Membership on special projects as needed.
- Liaise with the Data Management team as needed for database cleansing.
- Travel to two, week-long ASHRAE annual conferences and to at least one YEA Leadership Weekend or YEA Leadership International (usually Thursday-Sunday)
- Perform other duties as assigned by manager, senior manager, or director.
Minimum Qualifications (Knowledge, Skills, and Abilities)
- Bachelor's Degree preferred.
- Must have three to five years of customer service experience.
- Strong proficiency with Microsoft Office Suite (Excel, Word, Outlook); experience with graphics software is a plus.
- High level of attention to detail and ability to manage confidential information.
- Ability to prioritize and handle multiple tasks with minimal supervision.
- Must have superior organizational and database management, and excellent oral and written communication skills.
- Preference for experience with Netforum and a high level of Excel.

The noise level in the work environment is usually low to moderate. This is an Atlanta based position.
