Job SummaryThe Executive Assistant will provide high-level administrative and executive support to a senior leader and their team. This role requires discretion, initiative, sound judgment, and the ability to handle sensitive information with professionalism. The Executive Assistant will manage a range of administrative duties including scheduling, travel arrangements, meeting coordination, correspondence, and occasional research and reporting. Success in this role requires flexibility, resourcefulness, and a proactive approach in a fast-paced, matrixed environment.
Key Responsibilities
- Provide confidential, proactive administrative support to an executive and their direct reports.
- Manage complex calendars, schedule meetings, and coordinate conference calls and video meetings across time zones.
- Make domestic and international travel arrangements and manage travel itineraries.
- Draft and prepare correspondence, presentations, reports, and other documentation with high attention to detail.
- Greet and assist visitors, screen calls, and handle information requests with professionalism and discretion.
- Coordinate logistics for meetings, including room bookings, technology setup, catering, and material preparation.
- Track, submit, and reconcile expense reports and department invoices.
- Support various team and department initiatives with minimal supervision.
- Maintain and organize confidential files and records.
- Collaborate with internal stakeholders across departments and levels to ensure seamless communication and operational support.
Required Qualifications
- Minimum of 3 years of experience as an Executive or Administrative Assistant
- High school diploma or GED required; Bachelor’s degree preferred.
- Proven ability to multi-task and prioritize in a fast-paced, high-pressure environment.
- Strong organizational and problem-solving skills with the ability to anticipate needs.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), including formatting, table creation, and mail merges.
- Excellent written and verbal communication skills with strong attention to detail.
- High level of professionalism and ability to maintain confidentiality at all times.
- Effective interpersonal skills with experience working with senior executives.
- Ability to work independently and as a collaborative, adaptable team player.
Preferred Qualifications
- Experience supporting leadership in a matrixed or corporate environment.
- Familiarity with expense tracking tools and scheduling platforms.
- Exposure to project support or event planning responsibilities.
