Job Purpose:

Under the direction of the Quality and Compliance Manager, the Quality Improvement Coordinator supports organizational performance by coordinating quality and process improvement initiatives, assisting with risk and compliance tasks, and tracking annual education and training requirements. This role promotes efficiency, safety, and regulatory alignment by managing project timelines, organizing data, standardizing workflows, and ensuring consistent follow-through across departments.


Main Duties and Responsibilities of the Role:

These duties are the essential functions and are not all-inclusive of all duties that the incumbent performs.


Compliance and Risk Management Coordination:

  • Assist with annual and quarterly risk assessments (environment of care, infection prevention, safety workflows, etc.)
  • Assist with monitoring mandatory training compliance and notification of overdue assignments


Clinical Workflow & Best Practice Implementation:

  • Facilitate the development, coordination and execution of improved or new workflows
  • Coordinate stakeholder meetings, gather feedback, and ensure issues are tracked and routed appropriately
  • Assist with cross functional workflows across multiple stakeholders to ensure compliance with and internal policies
  • Documentation of process changes with maintenance to produce up-to-date standard work


Audit & Monitoring:

  • Coordinate auditing of quality improvement work related to the quality and organizational goals
  • Manage the maintenance, tracking and validation of patient after hours call log
  • Manage the ED & Hospital discharge follow up calls per PCMH standards
  • Development of educational materials, tip sheets, and reminders for organizational training related to Quality Improvement. Coordinate internal communications regarding new workflows, updates to standard work, and training deadlines.


Project & Process Improvement

  • Manage projects using improvement standards adopted by Greater Valley Health Center, using evidence-based practices
  • Support in onboarding and training staff to QI processes and documentation expectations
  • Support preparation for HRSA site visit preparedness and evidence gathering
  • Assist in documentation compliance for FTCA, PCMH, HRSA and UDS submissions and certification
  • Assist in special projects as delegated or assigned


Qualifications: (Essential)

High school graduation or equivalent, preferably supplemented by course work or training in office-related subject.


Experience: (Desirable)

Experience in a Health Center or other Public Health Setting. Previous experience in a healthcare or administrative support role preferred. Previous project management, or process improvement experience preferred.


Knowledge & Skills: (Essential)

Strong organizational and time management skills with attention to detail. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Knowledge of business English, spelling, composition, and grammar. Skill in the use of various office machines with a high level of proficiency.


Abilities:

Ability to perform complex clerical work. Ability to maintain confidentiality and handle sensitive information. Ability to adapt quickly to changing priorities, deadlines, and organizational needs. Ability to communicate effectively verbally and in writing. Ability to collaborate across departments and maintain positive working relationships. Ability to act with initiative and good judgement and to make sound independent fiscal and administrative decisions. Ability to organize and coordinate multiple quality improvement projects simultaneously across medical, dental, behavioral health, and administrative areas. Ability to organize meeting minutes, follow-up lists, and improvement documentation. Ability to create concise summaries, tip sheets, standard work and training materials. Ability to facilitate small group discussions and follow up on action items. Ability to follow through on project deliverables with minimal oversight.


Working Environment:

Work is mainly performed in an office setting with computer work and moderate noise. Standing, bending, sitting, lifting, stooping and walking required. You may be required to travel to different locations for facilitating improvement work.
