Position Title: Advertising Coordinator

Reports To: Advertising Manager

Supervises: N/A

Summary of Position

Under the direction of the Marketing Advertising Manager, the Advertising Coordinator is responsible for coordinating, producing, and tracking advertising and marketing projects from concept through completion. This role manages workflow through the design and production process, ensures brand consistency, coordinates with internal departments and external vendors, and supports advertising campaigns across print, digital, social media, web, and on-property channels. The Advertising Coordinator also assists with special events, promotions, concerts, and other marketing initiatives as needed.

  1. Essential Duties and Responsibilities include the following and are subject to change at management’s discretion:
  • Coordinate and monitor the workflow of advertising and marketing projects to ensure timely completion.
  • Produce and manage advertising materials including print, digital, social media, video, signage, and promotional assets.
  • Schedule, track, and expedite jobs to meet deadlines and move approved projects into production.
  • Create, submit, and follow through on purchase orders and receiving documentation.
  • Maintain job status reports, spreadsheets, and monthly tracking of project requests and production activity.
  • Ensure all advertising materials conform to established brand and design standards.
  • Coordinate with outside vendors, printers, and agencies to ensure quality, consistency, and timeliness.
  • Distribute marketing and advertising materials (posters, flyers, mailers, newsletters, signage, etc.) accurately and on schedule across all properties.
  • Maintain and organize design files, production assets, and resource libraries.
  • Assist with player email campaigns, direct mail, promotions, concerts, and special events.
  • Support website content updates, corrections, and basic content management.
  • Assist with graphic design, layout production, photography, and proofreading as needed.
  • Create presentations and marketing materials for various projects and departments.
  • Maintain calendars for events, promotions, and production schedules.
  • Manage inventory of production supplies and operate/maintain production equipment.
  • Control and minimize production expenses in alignment with budget standards.
  • Occasionally perform duties of the Social Media Coordinator when needed.
  • Participate in brainstorming sessions and contribute creative ideas for campaigns and promotions.
  • Adhere to all regulatory, departmental, tribal, and casino policies and procedures.
  • Coordinate and execute in-house print production on designated schedules for posters, menus, flyers, signage, and other approved marketing materials.
  • Ensure all printed materials meet brand standards, content accuracy, regulatory requirements, and approved specifications prior to distribution.
  • Maintain and update a Property Poster Matrix, documenting where, when, and what marketing materials are displayed across all enterprise properties.
  • Track poster rotation schedules, expiration dates, and removal timelines to ensure only current and approved materials are displayed.
  • Install, replace, and remove posters and printed marketing materials as required throughout the enterprise, including but not limited to Casino Apache, Travel Center, Rocket City, General Store, and IMGR&C.
  • Demonstrated commitment to researching and implementing new technologies, including artificial intelligence, to enhance the operations of Marketing.

  • High school diploma or GED required.
  • Minimum of one year of experience in marketing, advertising, casino marketing, gaming, or casino services preferred.
  • Basic to intermediate knowledge of Macintosh and PC computers.
  • Working knowledge of Adobe InDesign, Photoshop, Illustrator, and Microsoft Office Suite.
  • Strong project management, organizational, and communication skills.
  • Ability to work in a fast-paced, deadline-driven environment.
  • Must be at least 21 years of age.
  • Must be able to obtain and maintain a gaming license.
  • Valid New Mexico Driver’s License or ability to obtain one.
  • Bilingual (English/Spanish) preferred.
  • Mescalero Apache Tribal preference and bicultural experience preferred.
  • Experience with systems such as Ticketmaster, Oasis, and property phone systems is a plus.
