PURPOSE
As a key member of the accounting department, the Payroll Manager ensures that team members are paid accurately and on time, reflecting our commitment to excellence and service. This role manages all payroll functions with precision and compliance, supporting the organization’s financial health and contributing to a positive work environment that enables exceptional guest service.
ESSENTIAL DUTIES / RESPONSIBILITIES
- Payroll Administration: Ensure the accurate and timely processing of payroll, including garnishments, benefit deductions, tips, and tokes. Maintain compliance with IRS Tip Reporting Determination Agreement (TRDA) and ensure all payroll activities adhere to relevant tax regulations.
- Timekeeping Compliance: Oversee the integrity of timekeeping systems and timecard management, ensuring all entries reflect actual hours worked. Collaborate closely with Human Resources to enforce proper approval processes for timecards, overtime, and the use of company-provided leaves, including Paid Time Off (PTO), ensuring compliance with internal policies and legal requirements.
- Tax and Reporting Compliance: Manage the accurate payment and reporting of payroll-related taxes and withholdings, including the preparation of general ledger entries, W-2s, and 941 forms. Ensure compliance with all IRS guidelines on tip reporting and participate in the quarterly and annual reconciliation processes.
- General Ledger and Account Reconciliation: Perform reconciliations for payroll and benefit-related accounts, including 401k, supplemental insurance, and taxes. Manage and review journal entries for payroll actuals and accruals, and ensure the accurate reconciliation of team member receivables and the payroll bank account.
- Team Supervision and Development: Lead, develop, and motivate the payroll team to achieve departmental goals and optimize efficiency. Provide ongoing training to maintain proficiency in payroll systems and ensure the team remains updated on regulatory changes and best practices.
- Compliance and Audits: Ensure strict compliance with wage and hour laws, including accurate tip and toke reporting. Conduct regular internal audits to identify and resolve discrepancies, and coordinate with external auditors to provide necessary payroll documentation.
- Technology and System Enhancement: Act as the functional expert in managing payroll systems and updates, ensuring data accuracy, compliance, and adherence to best practices. Safeguard payroll data in accordance with data protection regulations, particularly concerning tips and team member compensation.
- Team Member Support and Communication: Serve as the primary point of contact for team member inquiries related to payroll, deductions, tips, and toke distribution. Facilitate clear and timely communication and provide training on understanding pay statements, tax withholdings, and tip reporting procedures.
- Strategic Planning and Budgeting: Collaborate with the finance department to supply payroll data for budgeting and forecasting purposes. Analyze payroll costs, including those related to tips and tokes, to inform management decisions on staffing and compensation strategies.
- Issue Resolution: Resolve payroll-related issues promptly and effectively, coordinating with external vendors and participating in interdepartmental meetings to enhance processes and foster collaboration.
- Support and Collaboration: Provide assistance to other accounting department personnel as needed to meet deadlines and ensure smooth operation of the department. Perform additional duties as assigned.
Requirements:
Education and Experience:
- Bachelor’s Degree in Accounting, Finance, Human Resources, or a related field. An additional two (2) years of applicable experience may be considered in lieu of education.
- Four (4) years of experience in Payroll management, including experience with payroll systems, tax regulations, and benefits administration. One (1) year of experience leading others in a supervisory or manager role preferred.
- Strong knowledge of federal, state, and local payroll regulations and compliance requirements.
- Familiarity with payroll accounting principles and General Ledger reconciliation.
- Proficiency in payroll software and systems.
- Certified Payroll Professional (CPP), or must obtain within one (1) year of employment start.

- Leadership and Team Management: Demonstrated capability in fostering a collaborative and high-performing team environment.
- Technical Proficiency: Proficiency in payroll software and systems, with the ability to manage system upgrades and enhancements. Advanced skills in Microsoft Office Suite, particularly Excel.
- Compliance and Regulatory Knowledge: Strong understanding of federal, state, and local payroll regulations, with the ability to ensure compliance across all payroll functions. Experience in conducting internal audits and preparing for external audits.
- Analytical and Problem-Solving: Ability to perform complex reconciliations, prepare accurate journal entries, and manage payroll-related accounts. Strong problem-solving skills to address payroll issues and discrepancies promptly.
- Communication and Collaboration: Effective communication skills to serve as a point of contact for team member inquiries and to collaborate with HR and other departments. Ability to explain complex payroll topics in a clear and understandable manner.
- Industry-Specific Experience: Experience in the hospitality or gaming industry, with knowledge of industry-specific payroll practices. Ability to analyze payroll costs and trends specific to these industries.
- Process Improvement and System Enhancement: Proven ability to implement process improvements and system upgrades within payroll operations. Experience in leveraging technology to enhance payroll accuracy, compliance, and efficiency.
- Data Security and Confidentiality: Strong understanding of data protection regulations and ability to implement controls to safeguard sensitive payroll information. Experience in ensuring payroll data security within the organization.
