SUMMARY
The Administrative Office clerk provides essential support to the branch. They also assist with tasks branch transfers, entering transfers, emailing, tracking, and receiving the transfer. The Administrative Office Clerk oversees the organization of the delivery routes, revising throughout the day for route accuracy. The position also requires answering phone calls and routing those calls to the appropriate department/person. Additionally, this position is responsible for all general office duties, such as safety meetings, filing, equipment maintenance calls, and ordering necessary office supplies.
RESPONSIBILITIES
• Answer phones routing all calls properly.
• Maintain a positive, empathetic, and professional attitude toward customers at all times.
• Greet customers warmly and ascertain problems or reasons for calling.
• Respond promptly to customer inquiries whether by phone or in person when needed.
• Enter, email, and track all transfers between the branch and other locations.
• Review the transfers with the Lebanon driver for accuracy while the driver is still on-site at the pickup location.
• Prepare driver route, inspection sheets, and Samsara routing daily.
• Record delivery schedule on board in correct order, and update throughout the day for route accuracy. Send a picture of the board to the group text daily.
• Check driver route sheets daily for problems. Keep on file for six months.
• Ensure Samsara cameras are working daily.
• Process material returns and warehouse adjustments when needed.
• Coordinate with Fab and WH departments to order needed supplies or set up regular maintenance tasks (i.e. garbage pickup).
• Print tags for Fab Shop boxes.
• Execute monthly safety meetings, return the signature sheet to Human Resources, and file the document in the safety binder.
• Perform all general office duties as necessary, including filling the copier with paper each morning.
• Complete all office filing, organizing, and maintaining customer files.
• Protect the organization's value by keeping information confidential.
• Utilize the computerized ERP system to perform duties and responsibilities.
• Perform other clerical and general office duties as needed.
ADDITIONAL RESPONSIBILITIES: The company conducts physical inventory counts twice a year on a Saturday, and participation is mandatory for this position. These physical inventory counts are conducted at the end of June and end of December. Employees unable to attend the physical inventory must obtain written approval from their direct supervisor in advance.
REQUIREMENTS
• High School Diploma or GED equivalent required, College Courses or Associate Degree a plus.
• 2-3 years prior experience in a busy office environment
• Must have an understanding of billing/invoicing customers
• Microsoft Office and Excel proficiency required.
• Experience with automated ERP systems A+.
• Ability to multi-task, prioritize and work efficiently.
• Ability to listen, communicate (written and verbal), and follow up effectively with all staffing levels and customers.
• Ability to work independently, self-starter, energetic.
• Ability to consistently demonstrate a pleasant demeanor, good common sense, and sound judgment.
