Looking for a highly adept, detail-oriented individual to help administer our weekly payroll process. The Payroll/Office Administrator will be responsible for ensuring accurate and timely payment to employees, maintaining employee payroll records, preparing all necessary reports, and performing other office and accounting functions as requested.

Candidates MUST be able to speak both English & Spanish in order to communicate with our field employees and to answer any questions involving time cards or paychecks.

RESPONSIBILITIES

  • Administration of payroll system
  • Process weekly payroll
  • Maintain payroll record-keeping, including tax and other relevant information
  • Verify accuracy of all payroll entries, including deductions, earnings, and changes
  • Update employee records and and prepare reports on payroll activities
  • Respond to employee inquiries regarding their time cards and paychecks
  • Processing and distributing payroll checks and tracking electronic transfers of funds
  • Assist field staff with APP-based time card and payroll system
  • Investigate and resolve any discrepancies in payroll
  • Provide all necessary support to HR manager
  • Assist with onboarding of new hires
  • Communicate job site assignments to field staff
  • Answer office phone
  • Greet and assist office visitors
  • Assist with entering AP invoices in Quickbooks
  • Performs related duties as required
  • Schedule will be full-time on-site 40 hours a week - Mon-Fri 8am-5pm
  • Benefits, Vacation, and Holidays as well

QUALIFICATIONS

  • Applicant MUST be bilingual (English/Spanish)
  • Experience in payroll admin or a similar accounting role is preferred.
  • Must be able to communicate through text and email
  • Highly detail-oriented and analytical, able to solve problems
  • Strong time management skills
  • Ability to maintain a high level of confidentiality (Extremely Important!)
  • Knowledge of Excel and/or Google Sheets is highly desirable
  • Knowledge of office administrative practices including office equipment (ex: computers, printers, and software programs)
  • Quickbooks experience is desired but not required
  • Willing to train the right candidate
