SUMMARY
Responsible for providing administrative support for the Government Affairs Department and providing support for the assistant of the Chief Government Affairs Officer.
MAJOR DUTIES & RESPONSIBILITIES
- Maintains the Outlook calendar and contacts, makes all necessary travel and meeting arrangements, and processes expense reimbursement submissions.
- Maintains departmental calendar. Schedules and coordinates internal and external meetings; greets visitors when needed.
- Aids in the processing of Government Affairs disbursements and monitors department expenses; works closely with the Government Affairs Specialist to manage approvals and confirm that charges are correctly coded to the appropriate accounts.
- Aids in the preparation of consultant retainer letters; maintains contract files; processes and monitors invoices to confirm detail accuracy.
- Obtains and assembles information and materials needed for meetings and scheduled events; assists with the preparation of reports, forms, charts, graphs, tables, and presentations as needed.
- Drafts, formats, and edits correspondence to Institute committee members, Members of Congress, government officials and their staff.
- Provides support in planning, organizing, and executing special events involving members of Congress and other government officials; attends Congressional events as needed and appropriate.
- Performs other duties as assigned.
MIMIMUM JOB REQUIREMENTSKnowledge, Skills & Abilities
- Proficiency with Microsoft Office (Word, Excel, PowerPoint and Outlook) and video conferencing (Zoom, Microsoft Teams, WebEx) applications.
- Strong attention to detail and accuracy in completing assignments.
- Strong organizational skills; ability to prioritize and coordinate multiple tasks and the ability to work in a fast-paced environment.
- Strong oral and written communication skills.
- Ability to interface well with staff at all levels including senior executives both internally and externally, outside counsel, members of the Government Affairs Advisory Committee (GAAC), Members of Congress and their staff, and government agency officials.
- Ability to work with high degree of independence, discretion, and personal initiative.
- Ability to work flexible hours and overtime as needed.
- Ability to work in a bipartisan manner.
- Understanding of political and legislative processes.
- Ability to work with sensitive and confidential information.
- Ability to travel when needed.
Education & Experience
- Bachelor’s degree preferred.
- 1-3 yrs. administrative experience, preferably Government affairs/political experience on Capitol Hill, the Executive Branch or as an administrator in a government affairs office, or an equivalent combination of related education and experience preferred.
