The Executive Assistant plays a crucial role in supporting the Department Head by managing daily administrative operations and ensuring efficient communication and coordination across various projects and departments. This position handles a variety of responsibilities including calendar and travel management, meeting coordination, and acting as a liaison to facilitate smooth workflow and strategic initiatives. The role requires discretion, organizational skills, and proficiency in collaboration tools to support both routine and special projects.

Responsibilities

  • Manage complex calendars and coordinate meetings
  • Arrange occasional travel logistics and accommodations
  • Oversee email correspondence and prepare key documents
  • Generate reports and support administrative projects
  • Serve as a communication liaison between departments
  • Assist with event planning and cross-departmental programs
  • Maintain confidentiality and manage expense tracking
  • Prioritize tasks to efficiently support strategic initiatives

Preferred Qualifications

  • 2+ years of experience in executive support
  • Associate's or Bachelor's degree in Business Administration or related field
  • Proficiency in Microsoft Office Suite and calendar management software
  • Experience with travel coordination and event planning
  • Effective communication and time management skills
  • Strong confidentiality and organizational abilities
  • Problem-solving, interpersonal skills, and multitasking capability
  • Familiarity with project management software, Google Workspace, and communication platforms such as Slack and Teams
