Job DescriptionWe are looking for a detail-oriented Executive Secretary to join our team in Albany, New York. In this long-term contract position, you will play a vital role in supporting office operations, ensuring smooth communication, and maintaining accurate records. The ideal candidate will possess excellent organizational skills and demonstrate proficiency in handling various administrative tasks.

Responsibilities:
• Draft and finalize correspondence, records, and other documents using computer software based on handwritten notes, drafts, or oral instructions.
• Compose and prepare communications for matters with established policies and procedures.
• Maintain and update databases and spreadsheets using Microsoft Excel.
• Organize and manage confidential and general office files in both physical and electronic formats.
• Track and monitor the progress of program activities to ensure deadlines are met.
• Screen phone calls and visitors, addressing inquiries about policies and procedures or directing them to the appropriate department.
• Coordinate mailings and ensure timely distribution.
• Manage office supply orders and maintain inventory to support operational needs.
• Assist with photocopying, scanning, and handling various administrative tasks as required.• Proven experience in office administration or as an executive secretary.
• Proficiency in Microsoft Excel and other computer software.
• Strong understanding of policies and procedures in an office setting.
• Ability to handle confidential information with discretion.
• Excellent organizational and time-management skills.
• Skilled in database and spreadsheet management.
• Effective communication skills, both written and verbal.
• Demonstrated ability to multitask and prioritize responsibilities.
