Position Summary
We are seeking an experienced and highly capable administrative assistant to provide direct support to the company owner and office team. This role requires exceptional organizational skills, proficiency in producing and reviewing business correspondence, and the ability to operate with independence and initiative. The successful candidate will act as a trusted resource to the owner, providing sound judgment, feedback, and counsel on matters impacting the business and daily operations.
Key Responsibilities
• Draft, review, edit, and format correspondence and business documents with accuracy and professionalism.
• Manage and maintain office records, reports, and schedules, ensuring confidentiality and organization.
• Utilize Microsoft Office Suite and Adobe software to prepare presentations, reports, and other business materials.
• Coordinate with internal and external stakeholders to facilitate smooth office operations.
• Provide proactive administrative support to the owner, anticipating needs and offering recommendations.
• Support the quarterly trust fund review process by compiling, preparing, and distributing necessary documentation.
• Maintain a high level of professionalism and discretion in all interactions.
Qualifications
• Proven experience in a secretarial or high-level administrative role.
• Strong written and verbal communication skills with the ability to proofread and edit documents effectively.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Adobe software.
• Ability to work independently, manage priorities, and take initiative without direct supervision.
• Strong judgment, critical thinking, and problem-solving abilities.
• Some post-secondary education preferred; equivalent professional experience accepted.
• High level of integrity, confidentiality, and reliability.
