Position Summary

The Administrative Coordinator - Southeast Region provides essential administrative, operational, and reporting support to regional leadership across Dixie Railcar and the Compass Rail network. This role ensures accurate documentation, organized recordkeeping, efficient office operations, and timely updates to key systems such as RailIQ. The ideal candidate is detail‑oriented, proactive, and comfortable supporting multiple leaders in a fast‑paced environment.

Key Responsibilities

RailIQ & Reporting

  • Upload all BRCs into RailIQ for the RRA network.
  • Ensure dashboards are updated and accurate daily.
  • Maintain organized filing systems for repair records, certifications, and safety documentation for the Southeast Region.

Inventory & Parts Tracking

  • Track parts usage and maintain accurate inventory counts for the Southeast Region.
  • Support materials management by ensuring timely documentation and communication.

Administrative & Office Operations

  • Perform general office duties including ordering supplies, coordinating shipments, and maintaining office equipment.
  • Organize files, prepare correspondence, and create reports or documents as needed.
  • Manage calendars, sort mail, and prepare invoices.
  • Handle general office tasks and provide support to managers, employees, and office visitors.
  • Make travel and meeting arrangements for regional leadership.
  • Maintain filing systems and ensure documentation is complete and audit‑ready.

Leadership & Department Support

  • Oversee routine and advanced administrative duties for Directors and regional leadership.
  • Provide proactive support to ensure smooth operations across multiple sites.

Communication

  • Demonstrate excellent oral and written communication skills in all interactions.

Other Duties

  • Perform additional responsibilities as assigned to support regional operations.

Qualifications

Required

  • Strong organizational skills with the ability to manage multiple priorities.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Experience in administrative, office, or operations support roles.

Preferred

  • Experience in transportation, manufacturing, logistics, or industrial environments.
  • Familiarity with RailIQ or similar reporting/maintenance systems.
  • Inventory or parts tracking experience.
