Front Office Assistant

Location: Santa Clarita "Valencia"CA 91355 (**Onsite, local candidates only)

Payrate: $23$25/hr (Weekly pay + medical benefits)

Duration: 36 month contract, with excellent potential for extension or permanent hire

Hours: Full-time, MondayFriday, 8:00 AM5:00 PM

Our client in an early-stage medical device company developing the first implantable neurostimulation device for the treatment of chronic inflammation. They are seeking highly motivated front office Assistant to join the team! In addition to providing administrative support for the Company staff and team members, this person may assist the Administrative Resources Manager with other administrative duties. The selected candidate will work under the guidance of the Administrative Resources Manager.

Position Responsibilities

  • Beginning of day activities such as opening blinds, turning on information monitors throughout the office, and zoom monitors in all conference rooms.
  • Serve visitors by greeting, welcoming, directing, and announcing them appropriately.
  • Answer and screen incoming phone calls and inquiries.Forward or take messages for calls and may provide basic information when needed.
  • Maintain security through appropriate protocols of access control and by monitoring security cameras.
  • Receive, log in, sort, and distribute daily mail/deliveries/couriers.
  • Coordinate and manage schedules, calendars, and logistics for a wide range of daily operational activities and business meetings and events. Assist with preparation and hosting for vendor meetings.
  • Establish and maintain administrative office records and systems. Update spreadsheets and database tracking systems.
  • Maintain inventory records and place orders for office supplies, paper goods, beverages, and snacks. Research and provide price comparisons for best value.
  • Maintain kitchens by stocking coffee, beverages, and kitchen supplies.
  • Update phone extension list and other administrative tracking spreadsheets.
  • email inquiries and respond or redirect as appropriate.
  • Prepare for luncheon meetings by ordering for individuals or a group and setting-up lunch upon arrival. May require cleanup and emptying trash cans in kitchen and conference rooms when necessary. Prepare conference rooms for subsequent meetings.
  • Operate office equipment including calculators, fax, printer, scanner, copy machines and book binding equipment, etc.
  • End of day activities such as closing blinds, turning off monitors throughout the office and zoom monitors in all conference rooms.
  • Perform other related duties as assigned and work with various departments, as needed.

Qualifications

  • 17 years of experience as a Receptionist, Office Assistant, Administrative Assistant, Facilities support, or interested in transitioning into a front desk/office role - willingness to learn in a junior-level role to transition into an office role
  • Enjoys being in a client-facing role and serving as the first point of contact for employees and guests.
  • It requires office presence and experience: greeting visitors and maintaining a welcoming, engaging, and friendly environment.
  • Experience handling incoming phone calls and transferring to the appropriate person; typically, 10 or fewer calls per day.
  • Eager to learn and grow in the role.
  • Comfortable taking directions from management, with the ability to make corrections and offer suggestions.
  • Actively seeks opportunities to improve skills, take feedback positively, and develop expertise in the role.
  • Able to place office orders, maintain the kitchen by stocking items, and ensure the office looks presentable and organized.
  • Experience using Outlook to schedule meetings, respond to emails, and keep track of tasks.
  • Experience with Excel and MS Word; knowledgeable in using spreadsheets.
  • Experience or interest in submitting reports and updating spreadsheets.
  • Maintains the highest ethical standards.
