Job Summary:
The Administrative Assistant provides executive support to the Chief Executive Officer (CEO), as well as assisting the CFO and the organization with administrative tasks as required. The Administrative Assistant organizes calendars, manages board reports and correspondence, and performs work that is varied and generally administrative or project oriented. Requires a broad understanding of organizational operations and procedures. Handles confidential and sensitive material. Makes independent decisions regarding planning, organizing, and scheduling work.
Responsibilities Include:
- Supports CEO with organizational and administrative needs, including meeting scheduling
- Support Board of Directors and Board Committee activities, including preparation of board documents, and meeting scheduling
- Work closely with CEO and Board Chair to gather all Board Meeting materials for pre-read, set-up and follow-up meeting tasks, includingpreparation of Board minutes
- Prepare reports, letters and other documents, including both paper and electronic file management
- Assists with maintaining required Chapter documentation
- Information Technology support; assists with ordering computers, office supplies equipment.
- Support with HR-related tasks, including job postings and employee recruitment, background checks, badging, onboarding, personnel file maintenance and offboarding
- Open, sort, and distribute incoming mail
- Special Projects and other duties as assigned
Education and Experience
- Mature and proactive, with evidence of having worked as a partner to executive leadership of an organization and experience with Board relationships.
- Ability to coordinate several projects simultaneously.
- Works collaboratively with a wide range of people and personalities.
- Strong time and organizational skills.
- Excellent written communication skills
- Enthusiastic, energetic, and willing to work as a team member.
- Strong computer skills including Microsoft Office
- Ability to maintain confidential matters.
- Proven self-starter who works independently.
