We are looking for a highly organized, detail-driven Sales Assistant who plays a vital role in supporting our Sales team and ensuring our customers receive world-class service. In this position, you’ll keep orders moving, track critical deadlines, coordinate with multiple departments, and help maintain the heartbeat of our sales operations. What You’ll DoOrder Management & Sales Support (You’re the Traffic Controller!)

  • Own the tracking of all internal and buyout orders, back orders, shipments, and deadlines.

  • Keep a live log of all stock and special orders — follow up on every promise date so nothing slips through the cracks.

  • Record all buyout PO/SO details and vendor promise dates, including shipping windows for customer or Premium deliveries.

  • Provide daily shipment updates to customers and regional teams.

  • Partner with Sales and vendors to confirm timelines and keep all deadlines on target.

  • Support Sales with inventory checks and coordinate regional transfers for sold items.

Quotes & Sales Orders (You Keep the Numbers Moving!)

  • Assist Admin by preparing quotes and processing incoming sales orders from field personnel.

  • Enter all sales orders into our tracking system and keep it clean, updated, and accurate.

  • Maintain real-time visibility of sales order activity to support team planning and execution.

Inventory Coordination (You Help Keep Us Stocked & Ready!)

  • Work directly with the Warehouse Manager to complete and track stock orders for all three regions.

  • Monitor and manage inventory backlogs across Houston and all regional locations.

  • Jump in to support Shipping & Receiving when needed.

End-of-Month Support (You’re the Closer!)

  • Gather and organize all documents required for end-of-month billing.

  • Process all PODs (Proof of Delivery) for billing submissions.

  • Communicate with the sales team about outstanding POD needs and ensure everything is completed on time.
