Job Title: Administrative Assistant
Schedule: Monday–Friday, 8:30 AM–5:00 PM (30-minute lunch)
Pay: $20-22/hr
Location: Bronx, NY
Employment Type: Temp to Hire
Reports To: Property Manager / Assistant Property Manager
Position Overview:
The Administrative Assistant will support the day-to-day operations of the property management office under the direction of the Property Manager. This role is key in maintaining smooth office operations, supporting residents, and ensuring administrative tasks are handled accurately and on time.
Supervisory Responsibilities:
• None
Key Responsibilities:
• Answer resident calls, emails, and in-person inquiries, providing support for requests, concerns, and general questions
• Maintain timely and professional communication with residents regarding repairs, rent, leasing, billing, and community rules
• Distribute incoming mail, organize files, and maintain proper documentation
• Send resident notices, email blasts, and update bulletin boards as needed
• Prepare SD balance statements and assist with invoice preparation for management
• Communicate with vendors regarding unit maintenance and service requests
• Manage and update work orders, including scheduling and submission
• Assist Property Manager and Assistant Property Manager with daily administrative tasks and office support
• Submit Notices to Vacate in Yardi and ensure proper file handling
• Maintain a professional, respectful, and positive relationship with all tenants and prospects
Required Skills & Abilities:
• Strong multitasking and time management skills
• Highly organized and detail-oriented
• Proficient in Microsoft Excel, Word, and Outlook
• Yardi experience is a plus
• Strong customer service and communication skills
• Ability to handle sensitive situations professionally
Education & Experience:
• High School Diploma or equivalent required
