Job DescriptionWe are looking for a detail-oriented Administrative Assistant to join our team on a contract basis in Costa Mesa, California. In this role, you will play a key part in ensuring the office runs smoothly by handling a variety of administrative tasks and supporting the operations team. This position offers an excellent opportunity for someone with strong organizational skills and a proactive mindset.

Responsibilities:
• Manage daily administrative tasks, including scheduling appointments, coordinating meetings, and maintaining office records.
• Answer incoming calls professionally and direct them to the appropriate team members.
• Perform data entry tasks with accuracy and efficiency to maintain organized records.
• Serve as the main point of contact for vendors, ensuring timely communication and resolution of issues.
• Assist with basic payroll tasks and ensure all information is properly documented.
• Support the office manager and operations manager by taking on additional workload as needed.
• Utilize QuickBooks and Microsoft Office Suite to complete administrative projects.
• Maintain a welcoming and organized reception area while handling receptionist duties.
• Help manage office supplies by tracking inventory and placing orders when necessary.
• Collaborate with team members to improve administrative processes and workflows.

• Minimum of 2 years of experience in administrative support or a related role.

• Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.

• Basic knowledge of QuickBooks for handling financial tasks.

• Strong organizational and multitasking skills with attention to detail.

• Must be bilingual in Spanish and English with strong verbal and written communication skills in both languages.

• Ability to work independently while being a team player.

• Comfortable handling inbound calls and managing vendor relationships.

• Familiarity with data entry and maintaining accurate records.
