At Wisoman Foods, the Administrative Assistant is often the first point of contact, providing a positive impression to all customers, vendors, and visitors. This role supports multiple departments while ensuring smooth daily operations and exceptional service.

Were hiring an Administrative Assistant to provide high-level support across departments, manage inbound calls, and maintain accurate records and processes. The ideal candidate will have excellent communication and organizational skills, thrive in a fast-paced environment, and bring strong attention to detail to every task.
This is a full-time, onsite role with opportunities to grow within a supportive and collaborative team.
What Youll Be Doing
- Answer and direct inbound calls while providing excellent customer support and service.
- Greet and assist visitors, ensuring professionalism and security awareness.
- Respond to customer inquiries, research solutions, and follow up when immediate resolution is not possible.
- Monitor trends that affect daily operations and suggest improvements to customer service.
- Process and confirm orders in a timely manner; communicate with customers within 24 hours if issues arise.
- Prepare and maintain weekly production and shipping spreadsheets, ensuring 100% order fulfillment.
- Coordinate outbound shipments with third-party logistics providers, balancing cost efficiency with on-time delivery.
- Track daily inventory and provide timely updates to production.
- Manage purchase orders, confirm lead times, update delivery dates, and maintain accurate online records.
- Support product recall activities and shipment tracing as part of the recall team.
- Assist with scanning and uploading bills, tracking documents, and maintaining department files.
- Serve as a liaison among departments, facilitating clear communication and collaboration.
- Participate in quality and food safety programs, reporting issues as necessary.
- Carry out additional administrative duties and projects as assigned.
What Were Looking For
- High school diploma or equivalent required
- 2-3 years of administrative experience.
- Proficiency in Microsoft Office and web-based applications (ERP, EDI).
- Strong written and verbal communication skills; bilingual English/Spanish highly preferred.
- Highly organized, detail-oriented, and able to multitask effectively.
- Proven ability to manage sensitive information with integrity and confidentiality.
- Collaborative team player with excellent problem-solving skills.
