Summary of Position:

Savara is seeking a motivated and detail-oriented temporary Executive Administrative Contractor to support our senior administrative team during a period of parental leave. The expected duration is September 1, 2025 to February 1, 2026. This role combines administrative duties with office management, ensuring our workplace runs smoothly and efficiently. The ideal candidate will have strong organizational skills, a proactive can-do attitude, and the ability to multitask in a dynamic environment. The individual must be able to be on-site in Langhorne, PA at least three days per week.

Key Responsibilities:

Administrative Support:

  • Assist the Senior Office Manager & Executive Administrator with scheduling meetings, calendar management, and complex travel planning for internal and external meetings
  • Prepare and edit correspondence, reports, and presentations.
  • Maintain files and records, ensuring compliance with company policies.
  • Create and manage all types of daily correspondence to ensure professional, accurate and timely communication.
  • Attend meetings, develop agendas, capture notes and action items.
  • Coordinate logistics for regular onsite meetings and events.
  • Participate in cross functional projects within filing, communication, marketing, webpage updating and other business operational items.
  • Support HR functions including maintaining files, running reports, coordinating interviews, drafting correspondence, assisting in onboarding.

Office Management:

  • Oversee supply management and equipment maintenance in our Langhorne, PA office.
  • Coordinate office events and meetings, acting as on the ground logistical support for important details such as meals, supplies, and workspace are addressed.
  • Support IT including internet, phone systems, and printers.
  • Liaise with facility management vendors, including cleaning, catering and security services.
  • Maintain office management-related policies and procedures.

Skills and Experience:

  • 3+ years of proven experience in executive administrative support and office management, preferably in a pharmaceutical or startup environment
  • Strong organizational and multitasking skills with keen attention to detail.
  • The ability to work independently on projects, from conception to completion.
  • Excellent written and verbal communication skills.
  • Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and online collaboration tools (Zoom, Teams)
  • Proactive problem-solving abilities
  • Keen ability to effectively manage multiple priorities in a dynamic environment
  • Flexibility and the desire to wear many hats

This role is 40 hours per week onsite in Langhorne, PA during typical business hours of 8 a.m. to 5 p.m. Monday through Friday. The exact schedule will be determined in collaboration with the chosen candidate. This role is a 6 month contract (1099).
