Client is seeking a Full Time Billing and Collection Specialist with proven analytical skills and Communication Abilities. Hands-On Role performing issuing of invoices and credit memos to customers in hard copy or electronic format with supporting documentation. Also, handling receivable collections and maintaining good customer relations. Motivated individual with excellent planning and organizational skills, attention to detail, and proficiency with systems and technology. Must be able to work in a fast-paced environment, performing multiple tasks / projects with defined deadlines. Maintaining systems for customer codes and other related sales inputs. Ad-hoc assignments as requested by management.
Responsibilities
• Organize and maintain sales/service orders and delivery tickets for invoice submission
• Resolve discrepancies with the service or sales orders, shipping tickets and customer invoices.
• Issue invoices and credit memos to customers
• Issue periodic customer statements and aging reports
• Contact customers, manage collections and provide periodic updates.
• Record customer payments and update accounts receivable records.
• Update customer files including contact information
• Enter invoices into customer billing portals
• Submit electronic invoices
• Communication with Customers, salespersons, and Sub-Contractors.
• Sales reporting for billed quantities and / or amounts
• General office duties – filing, answering phones, faxing, scanning, emailing
Job Requirements
• 3+ years of experience in billing. (Bookkeeping and month-end close experience a plus)
• Ability to follow processes and procedures as well as initiate tasks related to job requirements
• Industry experience in distribution, warehousing, logistics, inventory management, transportation, trucking, and shipping preferred.
• Must be detail oriented, analytical and able to research and solve problems independently.
• Dedicated and reliable with stable professional background.
• A multi-tasker, who is comfortable working independently and in a team in a fast paced and high-volume environment with emphasis on accuracy and timeliness.
• A perfectionist, who pays close attention to detail, with strong accuracy and minimal error rate.
• Ability to maintain files in a systematic and orderly manner.
• Excellent verbal and written communication skills.
• Ability to effectively handle customers and subcontractor relationships while performing functions.
• A team player with a positive attitude, and excellent interpersonal skills.
• Experience with integrated accounting software package or ERP system a plus, preferably Microsoft Business Central.
• Highly proficient in Microsoft Office Suite (Excel, Word, Outlook) with emphasis on Excel.
