Job Summary
We are a high end medical, cosmetic, and surgical dermatology practice in the heart of Beverly Hills. We are seeking an experienced, highly polished, and professional Practice Manager to join our team. This role is critical for ensuring seamless operations, providing strategic oversight, and maintaining the impeccable standards our discerning patients expect.

This position involves the direct supervision of the practice staff. You'll report directly to the physician and serve as the liaison for communication between the staff and the doctor. You will also participate in key meetings to bring any operational issues or team feedback to their attention so problems can be solved quickly.

This position will begin as part time, with a strong intent and clear path for conversion to a full time role based on performance and practice growth. Duties

  • Financial Strategy and Reporting
    • Develop, implement, and manage the annual operating and capital expenditure budgets.
    • Prepare comprehensive monthly financial and operational reports for the physician owners.
    • Analyze expenses, overhead, and service fee structures to ensure profitability and cost control.
    • Oversee all cash flow, accounts payable, and the daily financial reconciliation process, including bank deposits.
    • Monitor and manage billing operations (A/R) against industry standards (MGMA benchmarks).
    • Serve as the primary point of contact for the practice's external accountant.
  • Personnel and Human Resources
    • Manage and supervise all administrative and clinical support staff.
    • Direct the entire employee lifecycle, including developing written job descriptions, recruitment, hiring, performance reviews, salary recommendations, and disciplinary actions.
    • Lead regular staff meetings focused on communication, continuing education, and operational process improvement.
    • Analyze staffing needs, determine optimal scheduling patterns, and resolve internal staff disputes promptly and professionally.
  • Practice Operations and Compliance
    • Develop, document, and enforce comprehensive office policies and procedures across all departments.
    • Ensure full compliance with all relevant government regulations (e.g., HIPAA) and industry best practices.
    • Manage risk assessment and implement policies recommended by the malpractice carrier.
    • Optimize EMR, billing systems, and overall technology management, assessing needs for upgrades.
    • Oversee the inventory control system to maintain appropriate supply levels for aesthetic and surgical services.
    • Analyze and streamline patient flow to minimize scheduling bottlenecks and wait times.
  • Patient Experience and Front Office Leadership
    • Direct all front-of-house operations, ensuring a polished, professional, and welcoming experience for every patient.
    • Oversee critical patient administrative functions, including appointment scheduling, patient registration, insurance verification, and collecting co-pays.
    • Manage the accurate posting of charges and payments, working with staff to prepare and explain complex treatment plans to patients.
    • Direct call management, appointment confirmations, pre- and post-operative follow-up calls, and mail/fax distribution.
    • Assist in patient relations and coordinate the development of patient education materials and marketing activities.

Requirements and Details

  • Experience: At least five (5) years of experience working as a practice manager. Dermatology experience is preferred.
  • Education: Higher education is preferred.
  • Hours: Part-time with a minimum of 24 hours; opportunity to grow into full-time in the future
  • Pay: Starting at $30 to $35 per hour
