Job DescriptionWe are looking for a skilled and personable Receptionist to join our team in Cohoes, New York. In this role, you will serve as the first point of contact for visitors and employees, ensuring a welcoming and detail-oriented environment. You will handle a variety of administrative tasks while maintaining organization and efficiency in a fast-paced setting. This is a long-term contract position offering stability and opportunities for growth.
Responsibilities:
• Provide a warm and detail-oriented greeting to clients, guests, and employees upon arrival.
• Assist in achieving management goals by completing assigned tasks and meeting performance metrics.
• Coordinate visitor registration with lobby security and ensure hosts are notified promptly.
• Maintain a clean and organized reception area, adhering to established procedures and safety standards.
• Manage meeting room bookings via the client web portal and communicate setup requirements to the Conference Center Coordinator.
• Prepare meeting rooms by assisting with setup, breakdown, and basic IT support when needed.
• Support mailroom operations as directed, including sorting and distributing mail and packages.
• Handle administrative duties such as photocopying, printing, shipping, and arranging courier services.
• Document and communicate team actions, irregularities, and ongoing needs to ensure seamless operations.
• Direct visitors to the appropriate contacts and maintain effective communication across teams.• At least 2 years of experience in customer service or a related field.
• Proficiency in using Microsoft Office tools such as Excel, Word, and PowerPoint.
• Strong organizational and communication skills, with fluency in English both written and verbal.
• Ability to perform light physical tasks, including walking and carrying small packages.
• Familiarity with reception duties, security protocols, and clerical tasks.
• Skill in handling switchboard operations and directing visitors effectively.
• Experience with courier services and mailroom processes is a plus.
• Demonstrated interpersonal skills and a customer-focused approach to problem-solving.
