The Administrative Assistant/Receptionist plays a vital role in maintaining smooth office operations through efficient reception duties, calendar management, and general administrative support. This role is designed for an independent contributor working within a small office team or a larger administrative department, handling front desk responsibilities and supporting executives. The individual will utilize common office software and scheduling tools to ensure effective communication and organization.
Responsibilities
- Manage front desk reception duties and greet visitors professionally
- Oversee calendar management and appointment scheduling
- Perform accurate data entry and document preparation
- Handle incoming phone calls and route them appropriately
- Coordinate visitor arrivals and distribute mail daily
- Maintain organized record keeping and office supply inventory
- Coordinate meetings and assist with general office management tasks
Preferred Qualifications
- 1+ years of experience in administrative support
- High school diploma or equivalent
- Proficient with Microsoft Office Suite and calendar scheduling software
- Experience with customer relationship management (CRM) software preferred
- Strong customer service and communication skills
- Excellent organizational skills and time management
- Ability to multitask and solve problems efficiently
- Accurate and detailed data entry capabilities
