Role Summary
The Business Office Manager provides on-site leadership and oversight for daily business operations, administrative workflows, and operational support functions at the site level. This role helps ensure administrative consistency, supports revenue cycle coordination, oversees People Operations administrative processes, and maintains efficient non-clinical operations. The Business Office Manager partners closely with clinical and operational leadership to support site success and an excellent experience for patients, families, and staff.
Overview
The Business Office Manager leads non-clinical, site-based operations to ensure workflows run efficiently and in accordance with company policies and applicable regulations. This role supports timely, accurate routing of operational and billing-related information to the appropriate centralized teams, maintains required employee documentation, and provides administrative coordination that enables clinical teams to focus on patient care.
Key Responsibilities
- Oversee day-to-day non-clinical site operations, ensuring administrative workflows run efficiently and in accordance with company policies
- Coordinate timely entry and routing of billing-related data to support hospice claims processing and reimbursement workflows
- Support onboarding and People Operations administrative tasks including background screenings, documentation coordination, and new hire file completion in partnership with the People team
- Maintain employee records and required onboarding documentation in compliance with state and federal requirements and company standards
- Maintain, verify, and submit timekeeping records and support local payroll-related reporting or follow-up as needed
- Assist with Hospice Aide and CNA scheduling logistics and documentation processes in coordination with clinical leadership
- Prepare accounts receivable and other site-level operational reports as requested by leadership
- Provide intake coordination and patient data entry support during periods of high volume or when centralized intake is unavailable
- Serve as the initial point of contact for basic IT and system access issues, and escalate technical concerns to appropriate IT support teams
- Procure and maintain office supplies, equipment, and vendor services within budget and company guidelines
- Coordinate incoming and outgoing mail, faxes, and communications and route items appropriately to internal departments
- Provide logistical and administrative support for IDG and other site meetings including scheduling and materials coordination
- Support leadership with audits, compliance reviews, and operational data tracking for continuous improvement
- Maintain confidentiality, professionalism, and a mission-aligned presence in all responsibilities
- Perform other duties as assigned
Qualifications
- High school diploma or GED required; Associate's or Bachelor's degree in business, healthcare administration, or a related field preferred
- Minimum of three (3) years of administrative experience in a healthcare, hospice, or similar setting required
- Supervisory experience preferred
- Proficiency in Microsoft Office and comfort navigating technology platforms and electronic records
- Understanding of hospice billing and reimbursement workflows preferred
- Excellent verbal, written, and interpersonal communication skills
- Ability to manage multiple priorities, meet deadlines, and work independently in a fast-paced environment
The compensation range for this position is shown below and reflects the expected pay range for the role. Arc Hospice & Palliative Care is committed to transparency and equity in all compensation practices.
Final pay is determined based on factors such as experience, licensure, location, and business needs at the time of hire. Some roles may be eligible for additional compensation components consistent with Arc Hospice & Palliative Care practices.
Compensation$60,000—$80,000 USD
