We are seeking a motivated and outgoing Administrative Assistant to join our team. In this role, you will provide support to our office Executive Director, ensuring they have all the information and resources they need to perform their best. Your responsibilities will include answering phone calls, scheduling appointments, planning meetings, and writing correspondence. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor.

Key Responsibilities:

  • Office Support: Ensure the Executive Director and staff have necessary resources and supplies to meet organizational goals.
  • File & Document Management: Maintain organized office and Board records; draft, transcribe, and prepare correspondence and reports.
  • Team Oversight: Provide clear instructions, prioritize tasks effectively, and demonstrate supervisory and managerial capability.
  • Communication & Technical Skills: Apply strong spelling, writing, and computer skills in daily tasks.
  • Information Management: Efficiently gather, process, store, and retrieve various types of information.

Key Skills:

  • Communication: Excellent verbal and written communication for working with internal teams and external clients.
  • Organization: Ability to manage schedules, prioritize tasks, and keep records organized.
  • Technical Proficiency: Skilled in Microsoft Office (Word, Excel, PowerPoint), email systems, and calendar tools.
  • Interpersonal Abilities: Strong relationship-building and customer service skills.
  • Flexibility: Comfortable adjusting to shifting priorities and deadlines.
  • Attention to Detail: Accuracy in data entry and document preparation.

Qualifications

  • High school diploma/GED required, Associate’s degree or administrative training is preferred
  • Previous experience as an Administrative Assistant or in a similar position
  • Familiarity with standard office equipment such as printers and fax machines
  • Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint
  • Highly organized with excellent time management skills and the ability to prioritize projects
