Job Summary
We are seeking a reliable and organized Assistant to support daily administrative tasks. This role requires a detail-oriented individual who can multitask, maintain accurate records, and assist office and warehouse personnel. This person needs to be a self-starter and eager to learn and find things that need to be done.
Schedule: 10am-6pm M-F plus possible overtime and weekends
Key Responsibilities
- Answer and direct phone calls, emails, and other communications
- Greet visitors and provide general support to clients and staff
- Manage filing systems (physical and digital)
- Schedule appointments and maintain calendars
- Prepare and edit documents, reports, and correspondence
- Order office supplies and manage inventory
- Handle incoming and outgoing mail and packages
- Assist with basic bookkeeping tasks (invoicing, data entry, expense tracking)
- Maintain office equipment and coordinate repairs if needed
- Support other departments with administrative tasks as required
Qualifications:
- High school diploma or equivalent
- Proven experience in an administrative or clerical role preferred
- Proficiency in software like Microsoft Office (Word, Excel, Outlook)
- Strong organizational and multitasking skills
- Good written and verbal communication skills
- Attention to detail and problem-solving ability
- Basic knowledge of office procedures and equipment
