This is not your typical administrative position. You’ll act as the connective tissue of a small, fast-paced private office that supports high-net-worth individuals and their diverse family ventures.
We’re looking for someone who anticipates needs, handles the unexpected with grace, and enjoys juggling a little bit of everything - from executive-level projects to hands-on operational tasks.
What You’ll Do
- Be the go-to person; manage phones, emails, visitors, and correspondence with warmth and professionalism.
- Keep everything organized; maintain spreadsheets, reports, and documents across multiple businesses and family interests.
- Support ongoing projects; assist with timelines, vendor follow-up, and progress tracking to ensure initiatives stay on course.
- Operate with white-glove service; anticipate the needs of executives and family members, and deliver with discretion and excellence.
- Be the hub of operations; handle scheduling, event planning, and coordination between office staff, property managers, and estate personnel.
- Jump in wherever needed; from IT coordination to assembling reports, creating presentations, or tackling unique one-off requests.
- Handle the details that make a difference; errands, mail, office supplies, vendor coordination, and maintaining a welcoming office environment.

- You’re resourceful and curious; if given a quarter of the puzzle, you’ll find the missing pieces and put it together.
- You’re adaptable; comfortable switching gears between executive support, operations, and personal errands without missing a beat.
- You value discretion and professionalism and can navigate a high-expectation environment with ease.
- You have strong technical skills; confident in Microsoft Office Suite and Google Workspace; able to create polished documents, spreadsheets, and presentations.
- You enjoy making life easier for others and take pride in delivering thoughtful, quality results.

- Pay: $70,000 - $80,000/annually depending on years of experience
