The Executive Operations Specialist plays a critical role in supporting the firm’s leadership team, including the CEO, COO, and Lead Attorney. This role exists to maximize the effectiveness of the firm’s executive team by streamlining their focus on high-value priorities.
The successful candidate will be detail-oriented, adaptable, and comfortable balancing administrative precision with creative execution. The Executive Operations Specialist anticipates the evolving needs of the executive team, operates with minimal direction, and consistently represents the firm with the highest level of professionalism. This is a remote position requiring independence, accountability, and discretion in handling sensitive information.
Compensation:
$30 - $32 hourly
Responsibilities:
Executive Support
- Manage and prioritize calendars, appointments, and meetings for the CEO, COO, and Lead Attorney.
- Coordinate communications, draft correspondence, and prepare documents.
- Draft memos and meeting agendas, maintain accurate minutes, and proactively ensure participants are prepared for upcoming meetings.
- Assist with travel arrangements, professional and personal scheduling, and follow-ups.
- Maintain confidentiality and handle sensitive information with discretion.
Operations & Administrative Tasks
- Support project management and workflow coordination.
- Prepare expense reports and assist with budgeting tasks.
- Organize files, reports, and presentations.
- Assist with team communications and documentation.
- Handle computer/technical issues either by being tech-savvy enough to do it yourself or getting the problem fixed by someone else who is.
- Plan events for the firm.
Video Production & Editing
- Create and edit videos for internal and external use (e.g., training, marketing, or client communications).
- Manage video assets, including organizing, editing, and preparing final deliverables.
Other projects as determined by the Executive Team.
Qualifications:
- High school diploma required, but a 2-year degree from an accredited college or university preferred.
- Proven administrative experience.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Proficiency with office productivity tools (Google Workspace, Microsoft Office, or equivalent).
- Strong problem-solving abilities.
- Experience with video editing software (e.g., Adobe Premiere, Final Cut Pro, or similar).
- Ability to work independently, remotely, and maintain a high level of accountability.
