Position Overview
We are seeking a highly organized, proactive Executive Assistant / Operations Manager who will serve as the right-hand to our ownership team while overseeing critical operational functions across our multi-location wellness portfolio. This hybrid role combines high-level administrative support with strategic operations management, making it perfect for a detail-oriented professional who thrives in a fast-paced, growth-oriented environment.
This is a hybrid position offering flexibility between remote work and on-site presence at our Meridian-area locations.
Key Responsibilities
Executive Support (40%)
- Meeting Management: Coordinate and manage all executive, department and manager meetings, including BBT (Big Bold Thinking) sessions, monthly/quarterly reviews, and strategic planning meetings
- Communication Hub: Handle all executive email correspondence, phone calls, and scheduling
- Document Management: Prepare meeting agendas, take detailed notes, and distribute action items
- Calendar Coordination: Manage complex scheduling across multiple locations and stakeholders
- HR Support: Coordinate hiring processes, employee events, and team communications
- Travel Coordination: Arrange travel, accommodations, and itineraries as needed
Operations Management (35%)
- Multi-Location Oversight: Monitor daily operations across 7 locations (3 Nutrishop, 2 Restore in Idaho and 2 in Las Vegas)
- Performance Tracking: Input, Analyze and report on key performance indicators, sales metrics, and operational efficiency
- Vendor Relations: Manage relationships with suppliers, service providers, and contractors
- Process Improvement: Identify operational inefficiencies and implement solutions
- Compliance Monitoring: Ensure all locations maintain proper licensing, certifications, and regulatory compliance
Strategic Projects (15%)
- Business Development: Support expansion planning and new location development
- Research & Analysis: Conduct market research, competitor analysis, and feasibility studies
- Project Coordination: Lead cross-functional projects including technology implementations, marketing initiatives, and operational improvements
- Reporting: Create comprehensive monthly and quarterly business reports for ownership review
Administrative Excellence (10%)
- Financial Coordination: Assist with budgeting, expense tracking, and financial reporting coordination
- Technology Management: Oversee software systems, integrations, and digital tools
- Special Projects: Handle ad-hoc assignments including gift planning, vacation coordination, and strategic initiatives
Required Qualifications
Essential Skills
- Experience: Minimum 3-5 years in executive support, operations management, or similar role
- Industry Knowledge: Healthcare, wellness, retail, or franchise experience strongly preferred
- Technical Proficiency: Advanced skills in Google Workspace, project management software
- Communication: Exceptional written and verbal communication skills
- Organization: Proven ability to manage multiple priorities and complex schedules
- Problem-Solving: Strong analytical skills with ability to identify issues and implement solutions
