Position Overview

The Event Sales Coordinator plays a key role in supporting and driving catering sales by managing client relationships, creating and maintaining proposals, and assisting with business development efforts. This individual will be highly organized, proactive, and comfortable working independently while collaborating closely with the General Manager, culinary team, and operations staff.

The ideal candidate is kind, professional, detail-oriented, and genuinely loves the hospitality industry. They will be client-facing, solutions-focused, and capable of managing multiple leads and events at various stages of the sales process.

Key Responsibilities Sales & Client Management

  • Serve as a primary point of contact for inbound catering leads and client inquiries
  • Manage client communications via email, phone, and in-person meetings in a timely and professional manner
  • Build and maintain strong relationships with clients from initial inquiry through event confirmation
  • Conduct client consultations to understand event needs, budgets, and expectations
  • Follow up consistently on proposals, contracts, and pending decisions

Proposal & Contract Management

  • Create detailed, customized catering proposals based on client needs and company offerings
  • Prepare contracts, payment schedules, and related sales documentation
  • Track proposal statuses, deposits, signatures, and key deadlines
  • Make revisions to proposals based on client feedback and internal discussions
  • Ensure all client details are accurately documented and communicated to internal teams

Networking & Business Development

  • Attend networking events, open houses, tastings, and industry events as needed
  • Assist with venue partnerships, preferred vendor relationships, and referral programs
  • Represent Navis Catering Kitchen professionally at events and meetings
  • Support outreach efforts to corporate, social, and wedding clients

Administrative & Sales Support

  • Maintain organized client files and sales records
  • Update CRM systems, spreadsheets, and internal trackers
  • Assist with reporting on sales activity, booked events, and pipeline status
  • Coordinate tastings, site visits, and sales meetings
  • Support marketing and sales initiatives as assigned

Required Skills & Qualifications

  • Strong interpersonal and communication skills with a friendly, service-oriented approach
  • Ability to work independently, manage time effectively, and prioritize tasks
  • Proficiency in Microsoft Office programs (Outlook, Word, Excel)
  • Strong attention to detail and organizational skills
  • Comfortable working in a fast-paced, deadline-driven environment
  • Passion for hospitality, food, and client experience
  • Professional demeanor with a positive, team-focused attitude

Preferred Qualifications

  • Previous experience in catering, hospitality, events, or sales coordination
  • Experience creating proposals, contracts, or event documentation
  • Familiarity with CRM systems, event management software, or catering platforms
  • Knowledge of weddings, corporate events, or social event planning
