Junior Communications Analyst
Role Overview
The Junior Communications Analyst ( 3 years experience) supports enterprise program management communications for large, cross-functional modernization initiatives. This role develops, maintains, and distributes project communications, supports executive reporting, documents meeting outputs, maintains centralized repositories, and ensures stakeholders receive timely, accurate program information. The role operates under direction of senior PMO leadership while executing day-to-day communication tasks across multiple projects and stakeholder groups.
The position supports portfolio visibility, stakeholder alignment, and communication governance across technology-enabled transformation initiatives involving HR, Payroll, Finance, and enterprise systems modernization.
Key Responsibilities
Communications Support
- Assist in development and maintenance of program communication plans, including stakeholder lists, communication channels, and update cadence.
- Draft and format executive presentations, dashboards, newsletters, memos, status summaries, and briefing materials.
- Maintain centralized repositories for project communications, artifacts, and historical documentation.
- Track executive inquiries and support timely response coordination.
Meeting Coordination & Documentation
- Schedule meetings, distribute agendas, capture meeting minutes, action items, and decision logs.
- Publish meeting documentation within required timelines.
- Maintain action item trackers and follow up with stakeholders on completion status.
Program Visibility & Reporting
- Support compilation of weekly and monthly status reports covering milestones, risks, issues, and dependencies.
- Assist with maintaining RAID logs and change documentation under PMO guidance.
- Update stakeholder distribution lists and communication matrices as projects evolve.
Collaboration & Stakeholder Engagement
- Coordinate with project managers, functional leads, and technical teams to collect updates.
- Support consistent messaging across HR, Finance, IT, and executive stakeholders.
Compliance & Documentation
- Follow USPS documentation, security, and data-handling policies.
- Ensure version control and archival compliance for PMO artifacts.
Required Qualifications
- Bachelor’s degree in Communications, Business, Public Administration, Information Systems, or related field.
- 1–3 years of experience supporting communications, project coordination, or PMO environments.
- Strong written communication, editing, and presentation formatting skills.
- Experience with Microsoft Office (PowerPoint, Word, Excel, SharePoint or Teams).
- Strong organizational skills and attention to detail.
- Ability to work with multiple stakeholders and manage competing priorities.
- Must be able to pass a background check.
Preferred Qualifications
- Exposure to enterprise IT or business transformation programs.
- Familiarity with project management concepts and terminology.
- Experience supporting executive-level reporting or governance forums.
