The Administrative Assistant/Receptionist plays a key role in supporting a large team by managing reception duties, coordinating schedules, handling communications, and ensuring smooth office operations. This position requires high interaction with clients and visitors and proficiency with various scheduling and communication tools such as Microsoft Outlook/Office 365, Google Workspace, and proprietary company software.
Responsibilities
- Manage front desk reception and greet visitors professionally
- Coordinate and maintain calendars using Microsoft Outlook and Google Workspace
- Handle incoming phone calls and direct to appropriate team members
- Support meeting preparation and documentation
- Maintain office supply inventory and place orders as needed
- Perform data entry and maintain accurate records
- Distribute mail and manage document handling
- Provide excellent customer service and assist clients and visitors
Preferred Qualifications
- 1+ years of administrative support experience
- High school diploma or equivalent
- Proficient in Microsoft Office Suite
- Strong communication and organizational skills
- Effective time management and multi-tasking abilities
- Attention to detail and problem-solving skills
- Customer service experience
- Accurate data entry capabilities
