Job DescriptionWe are looking for a detail-oriented Office Assistant to join our team in New York, New York. In this Contract to permanent position, you will play a vital part in ensuring the smooth operation of daily office activities, from coordinating schedules to maintaining a functional workspace. This position is ideal for someone who thrives in a fast-paced environment and enjoys contributing to organizational efficiency.

Responsibilities:
• Provide administrative assistance by managing calendars, scheduling appointments, and coordinating follow-ups.
• Support new employee onboarding processes to ensure a seamless experience.
• Maintain cleanliness and organization of the office to create a productive work environment.
• Monitor and manage office supplies, placing orders and restocking items as necessary.
• Handle invoice processing by forwarding them to the appropriate departments.
• Communicate with external vendors to oversee deliveries and ensure timely service.
• Assist in handling mail and distributing correspondence to the relevant recipients.
• Facilitate meeting arrangements and ensure necessary materials are prepared in advance.
• Track office supply inventory to avoid shortages and interruptions.
• Perform general support tasks to enhance overall office operations.• At least 1 year of experience in an administrative or office support role.
• Proficiency in scheduling and calendar management.
• Familiarity with invoice processing and vendor communication.
• Ability to manage office supplies, including ordering and restocking.
• Strong organizational skills to maintain a tidy and functional workspace.
• Excellent communication skills for interacting with vendors and team members.
• Experience in onboarding new employees is preferred.
• Attention to detail and ability to multitask in a dynamic environment.
