Stillwater Capital is a leading M&A advisory firm specializing in private company acquisitions and divestitures in the U.S. and Canadian mid-market, typically ranging from $15 million to $200 million in transaction value. We advise global clients on sourcing and executing strategic M&A opportunities, with a focus on delivering exceptional outcomes through deep market insight and disciplined execution.
We are seeking a Business Development Coordinator to join our growing business development team. This role is ideal for a highly organized, detail-oriented individual who thrives in a fast-paced, professional environment and enjoys supporting outreach and relationship-building efforts. You will play a key role in identifying and engaging potential clients, managing campaign execution, and supporting the broader team in nurturing qualified business opportunities.
This is a coordinator-level role—perfect for someone who excels in execution and administration.
Key Responsibilities
1. Campaign Coordination
You will be responsible for researching and identifying potential clients based on defined profiles, including business owners and key advisors. Working closely with our Business Development Representatives, you will help develop campaign messaging and compile target lists.
You will manage the preparation and execution of weekly outbound email campaigns and ensure campaign performance is tracked and documented accurately.
2. Inbox & Lead Management
You will monitor inbound responses from outreach campaigns and ensure timely, professional communication with prospective clients. This includes responding to inquiries, scheduling meetings, and coordinating relevant materials with internal team members to support effective follow-up and engagement.
3. Database Management
You will maintain and update contact and lead data within Salesforce, ensuring accuracy and consistency across platforms. You will also assist in segmenting and organizing databases to support targeted outreach efforts and improve campaign efficiency.
4. Follow-up Enablement
You will support the broader Stillwater team in nurturing their personal networks by enabling timely and personalized follow-up. Your efforts will help convert warm leads into qualified business opportunities and ensure that outreach efforts are well-coordinated across the organization.
5. Sales reporting
You will produce basic reports on pipeline activity and campaign performance using Salesforce. These reports will support visibility into business development efforts and help inform strategic decision-making.
6. Administrative Support
You will coordinate internal communications related to business development initiatives and maintain documentation, templates, and process guides for outreach and reporting. Your work will help ensure the BD function operates efficiently and consistently.

Qualifications:
- Proven interest and aptitude for organization and process-driven work
- Experience in administrative, coordination, or support roles is an asset
- No prior sales or finance experience required
- Ability to work independently and collaboratively across teams
