Job Summary
The Administrative & Customer Service Representative is responsible for providing professional front-office support and delivering excellent service to internal and external stakeholders. This hybrid role combines administrative, data entry, and customer service duties to support daily operations, production workflows, and communication across departments. The ideal candidate demonstrates strong organizational skills, attention to detail, and the ability to multitask in a fast-paced manufacturing environment.
Essential Functions

Reception & Communication

Greet and direct visitors; maintain visitor logs.

Answer and route incoming phone calls promptly and professionally.

Serve as a backup point of contact for customer inquiries and follow-up.

Communicate clearly and courteously with customers, vendors, and internal teams.

Administrative Support

Enter purchase orders and job data into the ERP system.

Assist production teams with print loading, document scanning, and recordkeeping.

Provide administrative support to human resources, training, production and sales departments.

Manage calendars, coordinate internal schedules, and assist with office communications.

Customer Order Management
-
Enter customer orders and send confirmations.

Provide order status updates and coordinate delivery timelines.
-
Track job progress and collaborate with departments to resolve customer issues.

Maintain spreadsheets and reports to support executive staff and customer follow-up.

Document Control & Reporting

Assist with creating, revising, and filing both digital and hard copying documents.

Handle confidential documents appropriately.

Compile reports and metrics for management and department leads.

Operational Support

Monitor workflow and help identify needs for additional support or resources.

Uphold and enforce company policies and procedures.

Contribute to process improvements in administrative and customer service practices.

Maintain a clean and organized office environment and support shop floor visits as needed.
Qualifications

Education and Experience
-
High school diploma or GED required.
-
1-3 years of experience in a administrative or customer service role, preferably in a manufacturing environment.

Experience with ERP systems and order entry preferred
-
Associate’s degree in business, administration, or a related filed is a plus.

Skills and Competencies- Excellent verbal and written communication skills.
- Strong interpersonal and customer service skills.
- Highly organized with strong attention to detail.
- Strong analytical and problem-solving abilities.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook)

Work Environment- Primarily an office environment, with occasional visits to the manufacturing shop floor.
- Interaction with engineering, production, and office staff is routine.
- Exposure to ambient noise from manufacturing equipment such as punching and machining tools.
