Position Summary:This position is under direct supervision of the General Manager. The Administrative Assistant is responsible for performing all front desk duties on a professional level and works closely with the HR Manager and General Manager.

Job Description:
To perform the duties of an Administrative Assistant which include but are not limited to the following:
- Oversees the Job Tier/ISO Binder process
- Maintaining Display boards at front office/breakrooms
- Assist General Manager in notarizing confidential documents/contracts
- Distributes New hire employee applications
- Maintain ISO 9000 Employee Training Records and update quarterly
- Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate persons and offices
- Answer, screen and forward incoming phone calls
- Ensure reception area is tidy and presentable
- Provide basic and accurate information in-person and via phone/email
- Receive, sort and distribute daily mail/deliveries
- Submits referral incentives to HR to process
- Submits Safety shoe/boot reimbursements and verifies eligibility
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Creates employee gate keeper badges and keeps track of assigned employee numbers
- Order front office supplies and keep inventory of stock
- Coordinates lunch date with EE of the month
- Reviews training records and submits necessary paperwork to HR
- Schedules townhall/plant meetings in outlook
- Updates crew count
- Oversees display board/Monitor at front office and breakrooms (departments requesting information to be displayed will provide the artwork, flyer, posting, etc..)
- Keep updated records of office expenses and costs
- Perform other clerical receptionist duties such as filing, photocopying, and faxing
- Driver and Visitor Sign-in/out logs
- Running errands as necessary such as, ordering/picking up lunch, running to store, and picking up gift cards.
- Responsible for managing and maintaining Petty Cash Box
- Other duties as assigned
Qualifications:
To perform this job satisfactorily, the candidate must possess the following qualifications:
- High School Diploma
- 2 years of experience in Administrative/Clerical position
- Bilingual English/Spanish required
