Staff Accountant


Direct Manager: Controller

Department: Administrative

Direct Reports: None

The Staff Accountant will prepare and maintain financial records to track the organization’s assets, liabilities, profit and loss, tax liabilities, and other related financial activities.

Overall Focus

  1. Weekly payroll processing and reporting.
  2. Bank and credit card reconciliations.
  3. Maintenance and reconciliation of balance sheet accounts.
  4. Fixed asset maintenance.
  5. General ledger maintenance and reporting.
  6. Cash projections.
  7. Preparation of depreciation and amortization entries.


Accounting Duties

  1. Reconcile bank accounts by the 10th of the month.
  2. Match bank feed transactions daily in Acumatica.
  3. Prepare weekly cash projections and reports.
  4. Track, monitor, and follow up on miscellaneous receivables, claims, and pending items in the balance sheet.
  5. Prepare weekly payroll schedules and journal entries.
  6. Prepare monthly subsidiary schedules and journal entries, including fixed assets, amortization, depreciation, and accruals.
  7. Monitor overhead accounts payable aging and ensure timely payment of outstanding invoices.
  8. Maintain outstanding issues report and follow up with the accounting team on accordion checks older than 30 days and check rejections older than 7 days.
  9. Generate monthly intercompany billings.
  10. Reconcile credit card accounts.
  11. Provides outside accountants with assistance; gathers necessary account information and documents to perform the annual review.
  12. Files annual corporate license forms with state, and local government agencies.
  13. Maintains knowledge of acceptable accounting practices and procedures.
  14. Assist in the preparation of monthly financial statements and variance reports.
  15. Performs other related duties as assigned.

Qualifications

  1. Bachelor’s degree in accounting.
  2. At least one year of related experience is required.
  3. Solid analytical and mathematical skills.
  4. Ability to adapt to different personalities and management styles.
  5. Proficiency in Microsoft Office and Adobe Acrobat, Intermediate Excel preferred.
  6. Good communication and interpersonal skills.
  7. Bilingual (English/Spanish) preferred.
  8. Familiarity with ERP systems (Acumatica preferred).
