We are seeking a detail-oriented, people-focused HR Onboarding Specialist to support the seamless integration of new hires into the organization. This role plays a critical part in ensuring all onboarding tasks, compliance requirements, and documentation are completed efficiently and accurately, while creating a positive and professional first impression of the company. You’ll be the key contact for new hires from offer acceptance through their first day and will partner with Recruiting, HR, and Compliance teams to ensure a smooth handoff.

Compensation:

  • $25.00 - $30.00 / hour

Responsibilities:

  • Guide new hires through the onboarding process, from offer acceptance through new hire orientation
  • Collect, verify, and process all pre-employment documentation, including I-9s, tax forms, and signed policies
  • Manage onboarding checklists and track candidate progress using internal onboarding and HR trackers
  • Upload and maintain accurate new hire records in Paycom HRIS, ensuring all steps are completed and documentation is attached
  • Monitor and follow up on background checks, drug screenings, and MVRs, ensuring timely completion and resolution of delays
  • Ensure compliance with federal, state, and internal employment requirements, escalating issues as needed
  • Support Recruiting and Compliance as needed on background check and client badging processes
  • Coordinate with Recruiting, Compliance, Safety, and Operations teams to ensure a smooth and timely transition to active employment
  • Assist with scheduling and preparing new hire orientation, including document review and system access setup
  • Deliver a professional and welcoming onboarding experience, reflecting the company’s values and culture
  • Identify and recommend process improvements to enhance the onboarding workflow and compliance tracking
  • Other duties as assigned

Key Competencies

  • High attention to detail and documentation accuracy
  • Strong organization and time management skills
  • Knowledge of employment documentation and I-9 compliance
  • Experience using HRIS systems (Paycom preferred)
  • Clear and professional written and verbal communication
  • Collaborative and responsive across departments
  • Ability to maintain confidentiality and handle sensitive data
  • Proactive, process-minded, and dependable

Requirements:

  • 1+ years of experience onboarding new hires
  • Experience in the Transportation industry preferred
  • Experience with Microsoft Suite
  • Familiarity with DOT regulations, background check procedures, and drug testing practices preferred
  • Able to communicate proficiently in English
