The Payroll and Accounts Payable (A/P) Clerk is responsible for ensuring accurate and timely processing of payroll and vendor payments. This role handles the day-to-day payroll operations, including time tracking, payroll preparation, and resolving payroll-related inquiries. Additionally, the A/P responsibilities include verifying and entering invoices, preparing payment runs, and managing vendor records. The Payroll and A/P Clerk works closely with the finance and HR teams to ensure compliance with payroll laws and accounting regulations, supporting the organization’s financial accuracy and employee satisfaction.

Qualifications:

  1. Highschool diploma or GED required.
  2. Bachelor’s degree in accounting or related field preferred.
  3. Two years’ experience with payroll, accounting, or data entry preferred.
  4. Strong math and problem-solving skills.
  5. Attention to detail, accuracy, and timeliness are required.
  6. Strong interpersonal and communication skills to effectively support and address inquiries from internal departments, ensuring a positive experience and timely resolution of payroll and accounts payable issues.
  7. Strong organizational skills.
  8. Proficient in Microsoft Office Suite, Outlook, Excel, Word.
  9. A valid California driver’s license is required of staff who have regular driving duties, and the driving record must meet the requirements of their position and be approved by the agency’s insurance company.

Essential Job Functions:

  1. Ability to learn custom computer accounting software.
  2. Ability to juggle multiple tasks and meet deadlines efficiently.
  3. Physical, mental and emotional health adequate to perform job duties.
  4. Demonstrated ability to work in highly confidential position and maintain confidentiality of agency business.
  5. Detail oriented with ability to understand significance of departments consistency and knowledge.

Responsibilities:

  1. Prepare and complete forms related to payroll and benefits.
  2. Assist with maintenance of benefit plans including health and section 125.
  3. Provide assistance with accounts payable.
  4. Monitor company credit card expenses, ensure proper documentation, and tracking credit card limits.
  5. Maintain records for accounting and personnel and complete data entry.
  6. Assist with employee interfacing in regard to payroll, benefits, employment verifications, etc.
  7. General filing.
  8. Mail receipt and distribution.
  9. Provide training at new employee orientation on training timecard entry, job coding, and other payroll assistance.
  10. Responsible for preventing and controlling infection.
  11. Responsible for maintaining a culture of quality and safety.

Other:

  1. Attend all required meetings and trainings.
  2. Report any suspected child or dependent adult/elder abuse or neglect immediately to direct supervisor or utilize the chain of command if supervisor is unavailable.
  3. Report any client imminent danger to self or to others or gravely disabled immediately to direct supervisor or utilize the chain of command if supervisor is unavailable.
  4. Other duties as assigned.
