Mail & Print Associate


Salary Range: $21.70 to 23.84 hourly rate

Trinity Washington University seeks an experienced Mail & Print Associate. This is a full-time permanent position that reports to the Post Office Supervisor. The primary role of the Mail & Print Associate is to manage receiving, processing, and distribution of all mail and packages that arrives at the University from the USPS, UPS, Fed-ex, and other delivery services. This position is also responsible for the distribution of all interoffice mail, in addition to the completion of copy jobs. The Mail & Print Associate processes all outgoing regular mail and all bulk mailings. Other duties include assisting the Post Office Supervisor with maintaining the inventory required to operate the Mail Center and to execute service in a timely manner. This position will be vital in the upkeep of the University's copier fleet. When the Post Office Supervisor is out of the office, the Mail & Print Associate is responsible for managing the Mail Center's workflow. Specifically, this includes assuring that mail is picked up and delivered on schedule.

Duties & Responsibilities:

Mail:

  • Mail & Package Handling: Receive, sort, and distribute incoming mail and packages (UPS, FedEx, USPS) to faculty, staff, and student mailboxes.
  • Logging & Tracking: Maintain digital or physical logs for incoming packages, ensuring accurate tracking and delivery verification.
  • Outgoing Mail: Process outgoing campus and U.S. mail, including weighing, metering, and applying correct postage.
  • Customer Service: Assist students and staff with inquiries, package pick-ups, and locating missing mail. Requires verification of identification.
  • Operational Support: Operate mailroom equipment such as postage meters, scanners, and letter openers.
  • Safety & Organization: Maintain a clean, safe, and secure mailroom area, adhering to confidentiality regulations.

Photocopying:

  • Document Reproduction: Operates, adjusts, and maintains copiers, scanners, printers, and binding equipment.
  • Finishing Tasks: Collates, staples, folds, drills, laminates, and binds documents.
  • Production & Workflow: Reviews job requests, schedules print runs to meet deadlines, and ensures accuracy.
  • Supply & Machine Maintenance: Monitors paper and toner supplies, clears paper jams, and performs minor troubleshooting or calls for service.
  • Clerical Support: Sorts, distributes, or ships completed jobs, documents, or mail.
  • Quality Control: Ensures all materials are reproduced clearly, formatted correctly, and kept confidential.

Knowledge, Skills & Abilities:

  • Strong customer service orientation and strong interpersonal skills.
  • Attention to detail to include a high accuracy in sorting and logging mail and packages to ensure mail or packages are received by the correct recipient.
  • Organization skills; ability to handle high volumes of mail and packages efficiently.
  • Effective communication for customer service, troubleshooting, and, coordinating, with students, faculty and staff.
  • Confidentiality to ensure strict adherence to privacy policies regarding mail.
  • Ability to operate and troubleshoot, specialized, copy equipment.
  • High accuracy in reviewing, reproducing, and organizing documents.
  • Ability to manage multiple projects and meet strict deadlines.
  • Capable of lifting paper cartons and standing for extended periods.

Qualifications:

  • Strong customer service orientation and strong interpersonal skills required.
  • Able to work independently and in a team-oriented environment.
  • Attention to detail, strong organizational and communication skills essential.
  • High School Diploma or equivalent (i.e., GED) required.
  • Prior experience in a mailroom, shipping/receiving and/or high-volume customer service role.
  • Experience with computer-based applications/systems such as Microsoft Office.
  • Must be able to lift up to 50 lbs. and to stand for extended periods-of-time.
  • Valid US Driver's License, preferred.
  • Prior experience in a, copy center, print shop, or administrative office is preferred.

Work Schedule:

  • 40 hours a week.
  • Working evenings and weekends may be requested.
  • Employees are required to work in-person, this is not a remote position.

Physical Demand:

  • Ability to lift and transport packages, often up to 50 lbs., and stand for extended periods.
  • While performing the duties of this job, the employee is frequently required to sit and talk or hear, use hands to finger, handle, feel or operate, tools or controls. Hand-eye coordination necessary to operate computers and various office equipment.
