POSITION: Administrative Assistant - Unaccompanied Minors Program
REPORTS TO: Assistant Director
CLASSIFICATION: Full Time
EXEMPT/NON-EXEMPT: Non-Exempt (Salaried)
RATE: $40,000 annually
GENERAL DESCRIPTION: The Lutheran Safe Haven Shelter and Transitional Foster Care Program is a 24-hour program that serves unaccompanied children (UCs) in immigration custody who are awaiting release to their sponsors. The Administrative Assistant provides operational support to the Assistant Director and Program Director to ensure that the program is in compliance with federal, state, and local laws and regulations. The Administrative Assistant is responsible for maintaining the office, ordering supplies, handling petty cash, bookkeeping, maintaining files and ensuring that all mailings are timely.
MAJOR DUTIES AND RESPONSIBLITIES INCLUDE:
· Regularly enter all required information, data, etc., into program systems/ case files as required by program policies and procedures.
· Provide clerical support for the Assistant Director as well as other staff, as needed.
· Prepare Purchase Orders for the purchasing of items that the program may need; maintain purchasing records.
· Prepare payment requests or requisition forms to ensure Foster Parents, vendors and contractors are paid appropriately and on time.
· Assist the Assistant Director in developing and maintaining relationships with individuals, companies, and organizations who donate items to youth in care.
· Liaise with community organizations, i.e., Community Partnership Initiative, as well as with LSSNY main office.
· Perform other duties as required by Assistant Director or needs of the program/agency.
QUALIFICATIONS/EDUCATION:High School Diploma or equivalent;Bachelor’s degree preferred
EXPERIENCE:Minimum of two years’ relevant experience.
SKILLS & ABILITIES:
· Bilingual in English and Spanish (preferred)
· Strong communication, writing and organizational skills: ability to manage time effectively, multi-task and prioritize tasks.
· Ability to work independently and as part of a team; available to work flexible hours as needed.
· Experience and facility with Microsoft Office Applications
