Job Description

Payroll and HRIS Specialist

We are looking for a proactive, trustworthy, and ownership-oriented senior practitioner. The ideal candidate will be able to lead and take initiative, not just execute tasks. Cultural fit, alignment with company values, and long-term potential are important considerations. Reliability and strong communication skills are critical for success in this role, which supports essential payroll and HRIS functions.

Responsibilities:

  • Payroll Management:
  • Execute bi-weekly payroll processing from time and attendance through paycheck finalization.
  • Oversee all payroll reporting and ensure timely processing of third-party funding (e.g., Principal, Health-Equity).
  • Manage PTO reconciliations, RSU Vesting, and annual bonus payroll.
  • Address day-to-day payroll inquiries and issues.
  • Process and submit garnishment paperwork and payments.
  • Handle various one-time payments, non-qual distributions, HSA/FSA, wellness rewards, and gifts.
  • Manage Workers' Compensation processes and payments.
  • Prepare payroll accounting journal entries and reconciliations.
  • Lead the year-end W-2 project, including processing, delivery, and reporting.
  • Support annual Total Rewards preparation and delivery.
  • Oversee unemployment requests.
  • Ensure accuracy of all data within ADP.
  • Perform bi-weekly 401(k)/ADP reconciliations.
  • Review and maintain local and state payroll taxes.
  • HRIS and Data Management:
  • Administer and maintain ADP Workforce Now as the primary HRIS, ensuring data accuracy and integrity.
  • Develop and manage dashboards in ADP and SharePoint for reporting, metrics, and internal communications.
  • Build and maintain SharePoint pages and other tools for internal communication.
  • Troubleshoot HRIS issues, configure systems to meet organizational needs, and analyze employee data for actionable insights.
  • Collect and analyze employee data to generate reports, metrics, and dashboards.

Qualifications:

  • Bachelor’s degree in Accounting, Human Resources, Business Administration, Finance, or a related field; or a combination of 6+ years of education and experience.
  • Minimum of 3 years of hands-on payroll processing experience.
  • Required expertise with ADP Workforce Now and other HRIS systems (Workday experience is a plus).
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and SharePoint.
  • Proven ability to manage multiple priorities, maintain confidentiality, and exercise sound judgment.
  • Excellent interpersonal and communication skills.
  • General HR knowledge.
  • High level of professionalism, confidentiality, and integrity.
